Part-Time Reception & Office Assistant – Munich m / w / d (20-25 hours per week)

Ensure the smooth day-to-day running of the office and showroom, maintaining a clean, safe, and welcoming environment for employees, customers, and visitors. This includes managing consumables, coordinating with contractors, and being the face of the company at the site.
Carry out regular compliance and health & safety checks, maintain documentation, support training coordination, and manage a high volume of Facilities Purchase Orders (POs) — ensuring accuracy, budget alignment, and timely processing across multiple vendors.
Support your primary site and any new or future locations in your region, assist with courier and sustainability processes, contribute to EMEA-wide initiatives, and collaborate with other Reception / Team Assistants to share best practices and streamline operations. Support with the organization and smooth-running of regional events (Charity & Social).
Provide high-level service, coordinate lunches, team events, and charity initiatives.
Manage courier services at site level and support EMEA-wide process improvements.
Assist with new site openings, sustainability reporting, and showroom logistics.

You have great organizational skills with the ability to manage multiple tasks and ensure smooth day-to-day office operations.

We would Love toHearfrom People with :
Experience in reception, front desk, or administrative support roles
Hands-on experience with purchase order (PO) invoicing, including processing, tracking, and liaising with finance teams or vendors
Familiarity with booking systems, visitor management tools, and basic office equipment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required; certification is a plus
Language proficiency : Must speak and write fluently in English and German
