Numa is hiring a results-driven Procurement Lead to own the full procure-to-pay lifecycle across our fast-growing hospitality platform in Berlin. You will partner with Operations, the Launch team, Procurement, and Finance to define a single, scalable process and improve it with data-driven insights and AI automation.

Day-to-day you'll manage the procurement platform, ensure transparent workflows, and drive efficiency.

About the role

This role owns the full procure-to-pay process at Numa, from request through approval, ordering, receiving, and payment. It's a company-wide process, so it has to be built together: you'll work hand in hand with Operations, the Hotel Launch team, Procurement, and Finance to define and run one process that operates cleanly across all of them.

Day to day, you'll own the procurement platform and the process wrapped around it - catalogs, approvals, budgets, and workflows - and be the person the wider business trusts to make purchasing fast, transparent, and easy to get right.

You'll work closely with our Director of Procurement, our Sourcing Lead, and our Procurement Manager - Process & System Implementation, alongside the rest of the Procurement team and external stakeholders such as suppliers and system vendors. Beyond keeping the process running, you're expected to keep improving it - and to go a level deeper with AI, including learning to build and adapt your own tools ("vibe coding") to automate manual work. We'll support that growth, but we're looking for someone who's already curious about it and wants to keep pushing themselves further.

Your Responsibilities

Procure-to-Pay Process Ownership

• Co-own the end-to-end procure-to-pay process - from request and approval through ordering, receiving, and payment - and make sure it works as one coherent process.
• Partner with Operations, the Launch team, Procurement, and Finance to define how the process should run across the whole company, systems and align each team to it.
• Continuously look for where the process is slow, unclear, or inconsistent, and own fixing it short- and long-term.

Procurement Systems

• Own and administer our procurement platform - catalogs, approval flows, budgets, user setup, and the everyday fixes that keep it running for everyone who touches it.
• Troubleshoot issues as they come up and get to the actual root cause, rather than patching the symptom. Answer and automate the support channel for internal users

Process & Data

• Map how requests, approvals, and payments actually flow end to end, and push for fixes where the logic doesn't hold up.
• Build clean documentation, guides, and templates so best practice is written down.
• Build and improve data-driven reporting so the team always knows what's moving, what's stuck, and where the risk is.

Stakeholder Collaboration

• Be one of the go-to people for Operations, the Launch team, and Finance when something in the procure-to-pay process isn't working.
• Manage relationships with external stakeholders - suppliers and system vendors - where they affect how the process runs.
• Collect stakeholder feedback across the business and genuinely help them to buy more efficiently.

AI & Automation

• Bring a genuine interest in using AI to optimize the procure-to-pay process and cut out manual, repetitive work.
• Go a level deeper than just using AI tools - learn to build and adapt your own small tools and automations ("vibe coding") to solve process problems directly.
• Keep pushing your own AI skills further over time; we'll support the learning curve, but the drive to explore has to come from you.

About You

Experience

• You have worked in Procurement Systems and know how a Procurement Manager or a requester will work in a Procurement system.
• You don't need prior experience with procurement systems specifically - what matters is that you're a quick learner, ambitious, and comfortable with tools, data, and systems.
• Some background in an analytical, process-, or data-heavy role within Procurement is a plus. Solid GSheet / data skills; comfort digging into numbers and processes until they make sense.

Mindset & Competencies

• Detail-oriented and data-driven - a mismatched number or an unclear process bothers you enough that you go and fix it yourself.
• A sharp, structured thinker who asks the questions that get to the real issue before jumping to execution. High-ownership operator - reliable, organized, and comfortable running with more than one thing at a time. Ambitious and hands-on - you want to prove yourself and take on responsibility fast, wherever your starting point.
• A genuine problem-solver who cares about the people on the other side of every process - the teams waiting on approvals, the suppliers waiting on payment.
• Genuinely curious about AI and keen to go beyond just using it - interested in learning to build with AI ("vibe coding") and wanting to keep growing in that direction.

Communication

• Fluent written and verbal English required.
• Able to translate a messy process into a clear, simple explanation for stakeholders at any level.
