Office Admin – Customer Support & Scheduling Specialist
Location: Remote (South Africa or the Philippines)
Schedule: Full-Time | US EST/CST Business Hours + Rotating On-Call Coverage
About the Role
Our client is a well-established senior home care agency dedicated to providing compassionate, high-quality care to older adults. They are looking for an organized and customer-focusedOffice Admin – Customer Support & Scheduling Specialistto coordinate caregiver schedules, support clients and families, and assist with day-to-day administrative operations.

Key Responsibilities
- Manage daily client and caregiver schedules using ClearCare (WellSky) or similar software.
- Match caregivers with clients based on care needs, availability, and preferences.
- Resolve scheduling conflicts and caregiver call-outs to ensure uninterrupted care.
- Participate in a rotating on-call schedule for urgent evening and weekend coverage.
- Answer inbound calls and provide professional, compassionate support to clients and families.
- Follow up with clients to ensure satisfaction and document all interactions in the CRM.
- Coordinate client consultations and caregiver introductions.
- Support general administrative tasks, including document management and reporting.
- Assist with recruitment administration, onboarding paperwork, and reference checks.
- Maintain accurate client and employee records.
Requirements
- 2+ years of experience in scheduling, customer support, office administration, or healthcare coordination.
- Experience in home care, healthcare, or senior services is highly preferred.
- Experience using ClearCare (WellSky) or similar scheduling software.
- Strong Microsoft Office skills, particularly Word, Excel, and Outlook.
- Excellent written and spoken English.
- Strong organizational skills with the ability to manage multiple priorities.
- Calm and professional under pressure, especially when handling last-minute schedule changes.
- Reliable internet connection, computer, and dedicated home office setup.
