Aquatech has an immediate need for a full‑time Material/Logistics Coordinator in Boden, Sweden. The Coordinator will report to the Project Director and will perform the duties described below.
Responsibilities
- Responsible for the daily operation linked to the logistics and delivery flow
- Improve and optimize logistics processes, both locally and globally
- Coordinate with suppliers, customs and shipping providers
- Book special shipments and manage the procurement of stock and logistics abroad
- Coordinate and expedite all shipments to and from the company, including domestic and international imports and exports
- Ensure compliance with import/export regulations such as product classifications, NAFTA certificates, and Shipper’s Export Declarations
- Organize and maintain proper files as required by regulations
- Monitor rates and charges with third‑party freight carriers, negotiate reduced fees, and coordinate pick‑ups and deliveries using freight carriers and forwarders
- Verify all incoming shipments for accuracy and record received goods information
- Manage major, highly complex domestic and/or international projects, ensuring compliance with Aquatech’s quality standards and business requirements
- Negotiate agreements to obtain favorable terms and conditions and design programs to encourage optimum performance
- Promote and initiate measures to improve customer satisfaction and organizational operations through new strategies and technologies
- Purchase all commodities and technical equipment (e.g., pumps, valves, instruments, controls, vessels, and piping) promptly for the manufacturer of water and wastewater treatment systems
- Generate bid request documents, review quotations, prepare bid tabulation spreadsheets, and negotiate orders within budgetary limits and scope of authority
- Expedite all orders on assigned projects to maintain product deliveries and documentation submittals
- Contact vendors with discrepancies in quantity and quality
- File data and compile records and reports for multiple orders across projects simultaneously
- Interface with all departments to resolve problems and issues
- Coordinate and oversee receipt, inspection, storage, and issuance of project materials and equipment
- Maintain accurate inventory records in the ERP or material tracking system
- Ensure material availability aligns with project schedules and production needs
- Track material usage and reconcile discrepancies between physical counts and system data
- Collaborate with procurement, logistics, and site teams to forecast material requirements
- Verify supplier documentation, packing lists, and delivery notes for accuracy
- Support logistics coordination for inbound and outbound material shipments
- Implement and maintain material control procedures to ensure traceability and compliance
- Prepare regular reports on material status, shortages, and surplus inventory
- Enforce safety and housekeeping standards in material storage areas
Skill Requirements
- Ability to perform computer applications using MS Word, Outlook, Excel, and SAP
- Knowledge of duties, tariffs, and classifications
- Knowledge of commercial and trade laws
- Knowledge of VAT recovery and taxation (overseas)
- Ability to communicate effectively with customers and maintain a positive attitude and good organizational skills
- Ability to plan and manage multiple tasks or proposals
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
- Ability to work independently with minimal supervision
- Ability to demonstrate initiative and willingness to learn and grow in responsibility on the job
- Excellent negotiation skills and success in directing vendor selection activities
- Demonstrated leadership skills and ability to guide direct reports to effectively accomplish performance goals
- Working knowledge of the Export Administration Regulations (EAR) and the International Traffic in Arms Regulations (ITAR)
- Can speak English and Swedish at a professional level
Qualifications
Required Qualifications:
- 3–5 years of experience in materials coordination, logistics, or site operations—preferably on large industrial or infrastructure projects
- Experience working with heavy construction materials, cranes, and complex delivery schedules
- Strong understanding of Swedish customs procedures, transport regulations, and site safety standards
- Fluent in English (spoken and written); knowledge of Swedish or another Nordic language is highly valued
- Skilled in logistics software, inventory tracking, and Microsoft Office Suite
- Excellent communication, documentation, and planning skills
Preferred Experience
- Previous work on steel plants, energy projects, or process industry facilities
- Knowledge of local logistics providers and construction regulations in Sweden
