What To Expect

In this role, you will be the organizational backbone of our team and contribute to creating a smooth and professional daily workflow. Your tasks are diverse and varied:

  • Be the friendly first point of contact by welcoming and supporting clients and guests and act as a point of contact for Team
  • Handle incoming and outgoing mail, manage email correspondence, and keep files and documents organized and accessible
  • Booking and coordinating business travel and managing travel expense reports and supporting the leadership team
  • Preparing and following up on meetings, including organizing documents and presentations
  • Coordinate calendars and schedule meetings, conferences, and events – including invitations, venue booking, catering, and technical setup
  • Check and process expense reports, support with incoming invoices, and assist on other finance-related topics
  • Assist with office operations: order supplies, coordinate external suppliers, monitor deliveries and returns, and help ensure the office runs smoothly
  • Prepare IT equipment for new starters, manage hardware hand-outs and returns, in collaboration with the internal IT team
  • Actively contribute to internal projects and initiatives that strengthen collaboration and team culture
Your profile
  • You have completed a commercial apprenticeship or have a solid educational background in business administration/tourism management, ideally complemented by subsequent professional experience in reception or secretarial roles
  • You are proficient in all MS Office applications, especially Excel and PowerPoint
  • You have a quick grasp of concepts
  • You work independently, can quickly integrate into new teams, and have a curiosity for new challenges
  • You demonstrate high accuracy and attention to detail
  • You are fluent in German and possess excellent proficiency in English
