An interest in space and, ideally, previous experience in a start-up or similarly fast-paced environment would be an advantage.
Manage day-to-day office and site operations, including front-desk activities, visitor coordination, and supplier interactions.
Prepare and organize meetings, including room arrangements, materials, and practical on-site support to keep the office and sites running smoothly.
The role is primarily based at the front desk, serving as a main point of contact for visitors and office-related matters.
Coordinate schedules, appointments, and operational activities as required.
Support teams at all levels with operational and administrative tasks.
Handle incoming and outgoing correspondence, including emails and phone calls.
Maintain accurate records, documents, and administrative information.
Coordinate with suppliers and service providers to help ensure that office and site requirements are addressed efficiently.
Identify day-to-day issues proactively and help find practical solutions.
Take on other administrative and operational responsibilities as needed.
Fluent in German and English, both written and spoken.
Apprenticeship in office management or a similar field, or a high school diploma or equivalent. Further education or a relevant degree is appreciated.
Previous experience as an administrative assistant, office coordinator, site coordinator, or in a related role.
Excellent organizational and multitasking skills.
A strong service orientation and a hands‑on mentality.
Strong written and verbal communication skills.
Ability to work independently while collaborating effectively with colleagues across different teams.
High attention to detail and a pragmatic approach to problem‑solving.
Reliable, proactive, and comfortable working in a changing and fast‑paced environment.
