We are seeking a talented and driven individual to join our team as Executive Assistant (m/f/d) to the CEO and CFO Freight Germany in the Global Head Office in Bonn (40 hours/week)

Your key responsibilities will include:
  • Calendar & Schedule Management: Efficiently manage the complex calendars of the CEO and CFO, ensuring meetings, appointments, and key deadlines are well-organized, prioritized, and aligned with business needs.
  • Travel Coordination: Arrange seamless travel plans, accommodations, and itineraries for both executives, optimizing time and ensuring compliance with company travel policies.
  • Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, professionally handling and prioritizing emails, calls, and requests addressed to the CEO and CFO.
  • Meeting & Event Support: Prepare meeting materials, set up calls, coordinate logistics (facilities, catering, accommodation), and document meeting minutes to ensure effective follow-up and execution.
  • Executive Office Interface: Act as the go-to contact for other departments and the German Management Board on matters related to the CEO office, ensuring smooth communication and collaboration.
  • Project & Workshop Coordination: Organize offsites, workshops, and townhall meetings, supporting strategic initiatives and employee engagement efforts.
  • Procurement & IT Coordination: Order IT hardware/software and office supplies, ensuring timely availability and alignment with internal processes.
  • Internal Communications: Manage the design and content of the internal communication platform “Smart Connect,” ensuring it reflects key messages and updates from the CEO office.
  • Global Collaboration: Work closely with the global CEO and CFO offices to ensure alignment and consistency across DHL Freight and the wider DHL Group.
  • Stakeholder Management: Build and maintain strong relationships across the DHL Group, supporting cross-functional initiatives and executive-level communication.

To excel in this position, you should possess the following qualifications

  • Experience: Previous experience as an executive assistant, personal assistant, or in a related role is highly desirable (2-3 years).
  • Organization Skills: Excellent organizational skills and the ability to manage multiple tasks with a high level of attention to detail.
  • Confidentiality: Demonstrated discretion and the ability to handle sensitive information with confidentiality.
  • Communication: Strong written and verbal communication skills, with the ability to effectively interact with internal and external stakeholders.
  • Proactivity: A proactive approach to problem-solving, anticipating needs and finding solutions before issues arise.
  • Adaptability: Ability to thrive in a dynamic and ever-changing environment, adapting quickly to new challenges and priorities.
  • Tech Savviness: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Language Skills: Fluency in German and Englishrequired
