We’re looking for a dependable and detail-oriented Executive Assistant to support our Managing Director in day-to-day operations. This role is about keeping things running smoothly, organizing, coordinating, anticipating needs, and helping the Managing Director stay focused on what matters most.
You’ll handle communication, scheduling, and organization with confidence and discretion. You’ll work closely with different teams across the company, help manage information flow, and make sure deadlines, meetings, and projects stay on track.
You’ll work directly with the Managing Director of an innovative, AI-driven technology company. It’s a varied and responsible role where trust, collaboration, and professionalism are key. You’ll be part of a culture that values initiative, clear communication, and people who quietly keep everything running smoothly.
Managing calendars, travel plans, and meetings; keeping priorities clear and time well spent.
Preparing presentations, reports, and meeting materials.
Acting as the first point of contact for internal and external communication.
Handling confidential topics such as contracts, budgets, and HR information with absolute trustworthiness.
Supporting project coordination: tracking deadlines, budgets, and follow-ups with project owners.
Assisting in organizing internal and external events, workshops, and team meetings (on-site and remote).
Helping with proofreading, website updates, and marketing or event-related coordination.
Maintaining smooth collaboration across tools like M365, Slack, Teams, Confluence, and SharePoint.
You’re fluent in German and English, confident in communication, and comfortable writing emails and documents in both.
You’re highly organized, structured, and able to keep an overview even when things get busy.
You think ahead, solve problems proactively, and like to make things easier for others.
You're willing to take on responsibility and do not shy away to be proactive in a dynamic and fast-paced working environment.
You're a discreet, reliable, and professional someone who can be trusted with sensitive information.
