Job Opportunity

To support our growing team and ensure our office runs smoothly, we are looking for a dynamic and organised Events & Office Manager to ensure our lovely office operates smoothly and provides a welcoming environment for both employees and visitors. This role will focus on distinct areas crucial to the smooth operation and enhancement of our workplace, as well as creating a positive office and team culture through events organisation (internal and external).

Key Responsibilities

Office Management:

  • Own all office operations, including arranging for cleaning services, handymen, and catering logistics to ensure a seamless operational flow.

Front Desk Management:

  • Oversee front desk operations to ensure a professional and friendly first point of contact for all visitors and callers.

Workplace Experience:

  • Curate an aesthetically pleasing and culturally reflective office environment, focusing on decor, layout, and communal spaces to inspire employees and welcome visitors.

Events Planning:

  • Independently plan and manage internal and external events, such as office parties and team activities, ensuring alignment with company culture and overall objectives, this includes budget management and vendor coordination specifically for event-related activities.

Facilities Management:

  • Oversee the maintenance and functionality of all office facilities to provide a safe working environment, including vendor relationships management, e.g. landlord, property management, electricity and internet suppliers, etc.

Supplies Management:

  • Maintain an optimum inventory of office supplies, ensuring effective distribution without waste, and manage supply budgets to optimise spending.

Health and Safety Compliance:

  • Ensure compliance with all health and safety regulations, conducting regular audits and implementing necessary training sessions to maintain a secure work environment.

Feel-Good Management:

  • Act as the feel-good manager by cultivating a friendly and welcoming atmosphere in the office, i.e. manage the supply of snacks and beverages, coordinate general office life activities to promote a positive and engaging company culture.
Qualifications
  • Fluency in German and English.
  • You are proficient in MS Excel, Word, PowerPoint. Knowledge of additional software/tools (e.g. Figma, Miro, Jira, AI tools) is a plus.
  • Proven experience in office management, facilities management, or related roles.
  • Strong organisational skills paired with a detail‑oriented mindset.
  • Excellent communication and interpersonal skills for effective stakeholder engagement.
  • Familiarity with health and safety regulations and a proactive approach to compliance.
  • Experience in planning and executing events, with strong budget management skills.
  • A focus on creating a positive office culture and ensuring a welcoming atmosphere.
  • Experience in managing a front desk.
