Job Description

For our Car Fleet Department as part of the extended HR Team in Schwalbach we are looking for a Car Fleet & Mobility Specialist on a temporary basis for an initial contract duration of two years. This position is a tariff bound position. We are looking for expertise related to the company cars' administration and preferably to other mobility solutions (e.g. "Job Ticket", "Job Bike", etc.) and to the related processes. YOUR ROLE
  • Ensure day-to-day car fleet operation.
  • Administration of the local carpool.
  • Implementation and optimization of company car administration processes
  • Maintain an accurate inventory of all leased company cars, provide details of the inventory for insurance, financial or governance purposes.
  • Maintain the information of eligible company car drivers.
  • Offer information and support to company car drivers and to third parties offering car fleet-related services.
  • Maintain up-to-date documentation for all carpool vehicles, including insurance, registration, and maintenance records.
  • Process invoices and ensure payments in due time, by solving invoice-related notifications.
  • Perform governance controls of charges related to company cars.
  • Analyze reports on fleet performance, including usage statistics, maintenance costs, and claim values to identify trends and make recommendations for improving fleet efficiency and reducing costs.
  • Manage the return of old or underperforming vehicles.
  • Assist in the development and management of the fleet budget, monitoring expenses and ensuring adherence to financial targets.
  • Promote a culture of safety within the fleet, ensuring all drivers are aware of best practices and compliance with safety regulations.
  • Report accidents and incidents, documenting findings and implementing corrective actions as needed.
  • Support administration of other mobility solutions (e.g. "Job Ticket", "Job Bike", etc.)
YOUR PROFILE
  • Proven experience in fleet management or a similar administrative role.
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills to liaise effectively with drivers, vendors, and management.
  • Proficient in using Microsoft Office Suite (Excel, Word, PowerPoint), SAP and Coupa.
  • Proven capabilities in process optimization, digitization and automation of workflows.
  • Knowledge of automotive maintenance processes and vehicle regulations is a plus.
  • Enthusiasm for solving technical problems and hands on attitude.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.
  • Adaptable to changing priorities and fast-paced environments.
