Your Responsibilities

We’re looking for a structured and organized Assistant to join our dynamic Fleet team. If you thrive in a fast‑paced environment and have a passion for organization and administration in a team‑oriented environment, this is your opportunity to make an impact.

  • Administrative and System Coordination - responsible for managing purchase orders and invoice processing, maintaining employee access systems, and coordinating Chief Engineers accounts and attendance tracking
  • Travel and Agenda Management - coordinate travel and scheduling for leadership, organize Chief Engineers briefings, and manage communication and logistics with fleet teams
  • HR and Onboarding Support, with preparation of job descriptions and onboarding documents, support new hire processes, and manage external access to onboard IT systems
  • Reporting and Communication - record meeting minutes, update GHESS reports with stakeholder input, and support internal communication through the Communication Matrix
  • Departmental Engagement and Support - organize internal events and workshops, support cross‑departmental requests, and foster team motivation through direct engagement
Your Profile

Degree or professional training in Office Management, Business Administration, International Cruise Management, or a related field.

Experience in onboarding processes, including documentation and system access setup.

Strong organizational skills with experience in coordinating events, workshops, and travel logistics as well as keeping up multiple calendars.

Proficiency in administrative tools (e.g. MSOffice, Oracle, Basware, My Access, VPN systems, Excel, Word, and Power Point).

Excellent communication abilities, both written and verbal, with a proactive approach to team engagement.

Attention to detail in managing schedules, minutes of meetings, and internal reports.

Team‑oriented mindset with a focus on motivation, collaboration, and cross‑departmental support.

Demonstrates a high degree of autonomy and self‑motivation, with a discreet and professional approach to handling sensitive and confidential information.

Business‑fluent English skills (English is our company’s official language), German or other language is a plus.
