Jobbeschreibung

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Admin & Finance Coordinator based in Canada.

This role offers an opportunity to support essential accounting and administrative operations within a mission-driven national organization. You’ll take ownership of accounts receivable activities, corporate credit card reconciliation, financial documentation, and office mail services. The position combines careful financial processing with strong organizational and administrative coordination. You’ll work closely with the Finance Manager and internal teams to maintain accurate records, support compliance, and strengthen financial controls. Your attention to detail will directly contribute to reliable reporting and responsible fiscal management. This is a strong fit for an organized, self-motivated professional who values accuracy, confidentiality, collaboration, and meaningful work.

Accountabilities:
  • Endorse cheques, complete weekly bank deposits, scan and organize supporting documentation, and maintain accurate deposit records and files in SharePoint.
  • Prepare and distribute weekly revenue batches to the Development Team, enter approved revenue data into Business Central, and cross-check information against the Donor CRM to ensure accurate project and fund coding and appropriate revenue recognition.
  • Download bank feeds daily and promptly identify and report suspicious corporate credit card transactions to the Finance Manager.
  • Follow up with employees to collect supporting documentation for corporate credit card expenses, match documentation to purchase orders or approvals, verify extensions, assign appropriate GL codes, and enter transactions into the accounting system in accordance with GAAP.
  • Perform monthly corporate credit card reconciliations and obtain the required approval from the VP of Finance.
  • Calculate and apply applicable HST/GST rebates based on provincial tax requirements and maintain accurate supporting documentation in accordance with CRA requirements.
  • Maintain organized electronic records for credit card documentation and approval batches, ensuring required supporting documents are retained for at least seven years.
  • Monitor compliance with internal controls and immediately report any identified control deficiencies to the Finance Manager for investigation.
  • Coordinate with the lockbox service provider to ensure timely weekly mail collection, securely handle incoming packages, and complete or endorse bank deposits promptly.
  • Scan, organize, and distribute mail through SharePoint while ensuring confidential or important correspondence reaches the appropriate staff.
  • Assist with annual and special audits and contribute to other finance and administrative activities as assigned.
Requirements:
  • Hold a post-secondary college diploma or equivalent qualification in accounting.
  • Bring at least 2 years of relevant accounting experience within a business or not-for-profit organization.
  • Demonstrate exceptional attention to detail, accuracy, and proofreading skills, particularly when handling financial records and supporting documentation.
  • Possess strong organizational, planning, and time-management abilities, with the capacity to manage multiple priorities and meet deadlines.
  • Be a proactive self-starter who can work independently while also collaborating effectively with colleagues and cross-functional teams.
  • Have strong verbal and written communication skills and the ability to communicate professionally with internal stakeholders.
  • Demonstrate a strong understanding of confidentiality and the ability to handle sensitive financial and organizational information appropriately.
  • Be proficient in Microsoft Office applications, particularly Excel.
  • Working knowledge of Business Central and Mission CRM is considered an asset.
  • Bilingualism in English and French is considered an asset.
  • Be available for full-time work Monday through Friday, with occasional evening or weekend work when required.
  • Be located within 100 km of the Greater Toronto Area, Ontario, and available for occasional travel within Canada.
Benefits:
  • CAD $48,600–$60,750 annual salary.
  • Full-time, 18-month contract opportunity.
  • Fully remote, home-based position for candidates located within 100 km of the Greater Toronto Area.
  • Opportunity to contribute to a national not-for-profit organization with a meaningful social mission.
  • Exposure to accounting operations, financial controls, accounts receivable, audits, compliance, and nonprofit financial management.
  • Collaboration with finance, development, and other internal teams in a mission-driven environment.
  • Occasional travel within Canada.
  • An inclusive and accessible work environment committed to diversity, equity, and barrier-free participation throughout the recruitment process.
