Swim Recruiting seeks a hands-on Finance & Operations Manager to own day-to-day finance, payroll, invoicing and cash flow. You’ll work closely with external accounting partners in Canada and the U.S. and report directly to the CEO.

This remote role demands a proactive, detail-oriented approach within a growing professional services environment. The position is a maternity leave coverage starting Fall 2026, with a comprehensive benefits package and collaboration across borders.

Qualifikationen

  • Provide regular financial updates to the CEO.
  • Identify cash-flow, payroll, payment or compliance issues.
  • Maintain accurate financial records and documentation.
  • Support ad hoc finance and operational projects.

This is a broad role encompassing accounting operations, payroll, cash flow, client invoicing, AR/AP, commissions, tax coordination and financial reporting, with direct exposure to the CEO.

This would be a great opportunity for someone who enjoys working within a smaller, entrepreneurial organization where they can take ownership, work autonomously and have visibility across the business.

This is a fully remote position, offering the successful candidate the opportunity to work closely with the CEO and broader team while independently overseeing the company's day-to-day finance operations.

What – The Opportunity:

SWIM is recruiting for a Finance & Operations Manager to provide maternity leave coverage beginning in Fall 2026.

Reporting directly to the CEO, the Finance & Operations Manager will take ownership of the organization's day-to-day finance function while working closely with external accounting partners in Canada and the United States.

This is a very hands-on position.

The successful candidate will be responsible for ensuring payroll, invoicing, accounts receivable, payments, cash flow, commissions, tax obligations and financial administration continue to operate accurately and on schedule.

This is not a traditional people-management or strategic Director of Finance position. The ideal candidate genuinely enjoys being close to the numbers and personally managing the day-to-day financial activities of a business.

There will be a comprehensive transition period with the current Director, Finance & Operations prior to their maternity leave, including documented processes, templates, systems training and a detailed Finance Transition Manual.

What You'll Be Doing:
  • Monitor company bank accounts, cash balances and upcoming financial obligations.
  • Manage cash-flow requirements and ensure appropriate funds are available for payroll and scheduled payments.
  • Maintain accurate financial information within QuickBooks Online.
  • Work closely with external Canadian and U.S. accounting partners.
  • Prepare and issue client invoices and maintain sales and invoicing records.
  • Monitor accounts receivable and follow up on outstanding client payments.
  • Coordinate accounts payable and company payments.
  • Review and approve Canadian payroll.
  • Prepare and process U.S. payroll.
  • Coordinate Canadian RRSP and U.S. 401(k) contributions.
  • Review and process employee expenses in CAD and USD.
  • Review, process and coordinate payments for consultants and contractors.
  • Coordinate corporate tax instalments and recurring tax requirements.
  • Support T4, T4A, 1099 and W-9 requirements in partnership with external accountants.
  • Calculate and coordinate quarterly employee commission payments.
  • Coordinate scheduled dividend and applicable executive payments.
  • Maintain commission, payroll, cash-flow and other finance schedules.
  • Provide regular financial updates to the CEO covering cash position, receivables, upcoming obligations and any items requiring attention.
  • Proactively identify potential cash-flow, payroll, payment or compliance issues.
  • Maintain accurate financial records, spreadsheets and documentation.
  • Support ad hoc finance and operational projects as required.
Who – The Candidate:

We are looking for a hands-on finance professional who is comfortable taking ownership of a broad finance function within a smaller organization.

You may currently be working as a Finance Manager, Accounting Manager, Finance & Operations Manager, Controller, Assistant Controller or Senior Accountant and looking for an opportunity with broader ownership and direct exposure to senior leadership.

The successful candidate will be highly organized, detail-oriented and comfortable managing multiple recurring deadlines independently.

You will also be someone who enjoys rolling up your sleeves. This position requires someone who is equally comfortable discussing cash flow with the CEO and jumping into QuickBooks, reviewing payroll, preparing an invoice or investigating a discrepancy.

Required experience includes:
  • Approximately 4+ years of progressive accounting, finance or financial operations experience.
  • Strong working knowledge of QuickBooks Online.
  • Hands-on payroll experience.
  • Experience with accounts receivable, accounts payable, invoicing and cash-flow management.
  • Strong Excel skills and confidence working with financial spreadsheets.
  • Experience working with external accountants or bookkeeping firms.
  • Strong financial reconciliation and problem-solving skills.
  • Ability to independently manage recurring financial deadlines.
  • Excellent written and verbal communication skills.
  • High level of discretion when dealing with payroll, compensation, banking and other confidential information.
Nice-to-have experience includes:
  • Exposure to both Canadian and U.S. financial operations.
  • Canadian payroll, RRSP, T4 and T4A experience.
  • U.S. payroll, 401(k), 1099, W-9 or state reporting exposure.
  • Wagepoint, FlexChecks and/or Dext.
  • Experience within a professional services, consulting or other service-based organization.
  • Contractor/consultant payment experience.
  • Experience calculating commissions or other variable compensation.
  • Experience working directly with a CEO, founder or senior executive team.
  • CPA designation or progress toward a CPA designation is certainly an asset but is not required.

Above all, we are looking for someone who is proactive, dependable and comfortable taking ownership. The successful candidate will be able to identify issues, investigate discrepancies and determine solutions without requiring significant day-to-day supervision.

Where:

This is a remote position based in Canada.

The organization operates across Canada and the United States, so candidates should be comfortable collaborating virtually and working across multiple systems and stakeholders.

How Much:

The anticipated base salary is approximately $105,000 CAD, commensurate with experience. The successful candidate will also receive a comprehensive benefits package during the maternity leave contract.

When:

The anticipated start date is October 2026, allowing for an extensive transition and training period with the incumbent prior to their maternity leave commencing in December.
