UNOPS is offering an internship in administrative support to contribute to efficient delivery of UNOPS projects in Bogota. The role involves assisting with procurement, asset management, logistics, HR support, and general administrative tasks within the Support Services Unit.

Under direct supervision, you will help with day-to-day operations, maintain filing systems, and ensure compliance with UNOPS rules and policies.

Formación

  • Must be enrolled in a university programme in Business, Administration, Asset and Logistics, Procurement, Data Analytics or related field.
  • No prior professional experience required; internship opportunity for hands-on learning.
  • Experience with Google Suite is an advantage.

Responsabilidades

  • Assist in procurement activities, including drafting documents and processing bids.
  • Support asset and logistics management, inventory records, and tracking tools.
  • Provide administrative support for events, visas, correspondence, petty cash, and filing systems.
  • Assist in recruitment-related tasks and onboarding activities.
  • Support adoption of organizational policies and gender parity and PSEA principles.

Job Specific Context
Role Purpose

The Intern provides operational, administrative, and logistical support to the Support Services Unit. Under the direct supervision of the Support Services Associate , the intern will assist in the day-to-day delivery of support functions including general administration, procurement, asset management, logistics, and human resources, support in ensuring compliance with UNOPS rules, regulations, and operational policies.

Functions / Key Results Expected

1. Procurement Support

  • Assist in the coordination of administrative procurement activities for the UNOPS office.
  • Assist in drafting solicitation documents, receiving and opening bids, and preparing preliminary evaluation summaries/reports.
  • Assist with vendor profile creation and transaction processing in the oneUNOPS system.
  • Maintain and update the procurement plan and procurement tracking sheets in a timely manner.

2. Asset and Logistics Management Support

  • Assist the team in organizing, maintaining, and updating asset inventory records and databases.
  • Support asset tagging exercises, regular stocktaking, and physical inventory verifications.
  • Assist in cross-checking and reconciling asset data across tracking tools (WASP / oneUNOPS).
  • Coordinate transportation arrangements and logistics requests with project teams.

3. Administrative and Logistical Support

  • Assist in making administrative arrangements for events, workshops, and meetings.
  • Support the administration of visa requests, protocol documentation, and liaison logs.
  • Assist in receiving, recording, organizing, and routing official correspondence.
  • Assist in the administrative handling and recording of petty cash in accordance with UNOPS financial policies.
  • Maintain organized physical filing systems and digital archives (Support Services Drive) to ensure smooth payment processing and audit readiness.

4. Human Resources Support

  • Provide administrative support to recruitment processes (drafting job postings, organizing candidate files, and scheduling interviews).
  • Support the organization of onboarding activities and induction materials for new personnel.

5. General Support

  • Support the integration and implementation of organizational policies, including the Gender Parity Strategy and Prevention of Sexual Exploitation and Abuse (PSEA) principles.

Education Requirements

Required:

  • Applicants must be enrolled in a university programme such as Bachelor, Masters or Ph.D. (or the equivalent) or have graduated from such studies within three (3) years prior to the applications date of the internship
  • Area of study should preferably be in areas of Business, Administration, Asset and Logistics, Procurement, Data Analytics, Management, International Relations or other related areas.
Experience Requirements

Required:

  • No prior experience required
  • Experience in administrative support, support services, procurement, asset and logistics, or human resources in an international organization setting.
  • Experience in use of Google Suite (in particular Slides, Docs, Sheets) is an advantage
  • Experience in Data Analysis is highly desirable, in particular the use of data studio and Google Sheets.
