Job summary

Crossbeam Builders is seeking a Construction Operations Assistant to work remotely with the owner and support residential projects. You will keep project information accurate, manage items, and move tasks forward with minimal reminders.

Daily duties include making outbound calls, preparing meeting notes, drafting emails, and tracking decisions in JobTread. A reliable home workspace, an internet connection, and English fluency are required.

Qualifications

• Administrative or operations experience with multiple assignments and reliable follow-through.
• Clear, fluent spoken and written English for calls, emails, and notes.
• Experience making outbound calls, leaving professional voicemails, and following up.
• Accurate data entry and careful handling of dates, documents, and confidential info.
• Proficient with Outlook, Word, Excel; ability to learn JobTread.
• Quiet remote workspace and reliable internet during MT time window.

Responsibilities

• Maintain JobTread contacts, tasks, and project records.
• Organize plans, proposals, correspondence, and current vs superseded versions.
• Turn meeting notes into concise recaps and actionable tasks.
• Draft professional emails and client updates.
• Make outbound calls to follow up on decisions and project status.
• Record outcomes and follow-ups in JobTread.
• Coordinate meetings and support owner's inbox and calendar.
• Support bid requests, selections, permits, and lead records.
• Provide summaries of completed work and blockers needing owner attention.
