Job summary

Crossbeam Builders is seeking a Construction Operations Assistant to support residential projects remotely across Latin America. You will help keep project information accurate, organize plans and records, and ensure follow-up moves forward with minimal reminders.

The role requires frequent outbound calls, professional emails, and clear notes in English; Spanish is a plus. You will work with JobTread and standard office tools (Outlook, Word, Excel) as part of a growing construction team.

Qualifications

• Administrative or operations experience managing multiple assignments with dependable follow-through.
• Clear, fluent spoken and written English for phone conversations, correspondence, and accurate notes.
• Experience making outbound calls, leaving professional voicemails, and following up courteously.
• Accurate data entry and careful handling of dates, documents, files, and confidential information.
• Proficiency with JobTread and Microsoft Office tools.

Responsibilities

• Maintain JobTread contacts, tasks, selections, and project records using templates and workflows.
• Organize plans, proposals, correspondence, and supporting documents; distinguish current vs. superseded versions.
• Turn meeting recordings, transcripts, and notes into concise recaps, decisions, and task lists.
• Draft professional emails, client updates, and internal notes for review.
• Make frequent outbound calls to follow up on decisions, documents, bid responses, and project status.
• Record call outcomes, commitments, follow-up dates, and unresolved questions in JobTread.
• Coordinate appointments, prepare meeting information, and support owner's inbox/calendar.
• Support bid requests, selections, permits, and lead records.
• Provide clear summaries of completed work, pending approvals, and blockers for owner.
