• At least three years of construction office management and bookkeeping experience.
• Proficiency with QuickBooks Online and experience with job costing, accounts receivable, and accounts payable.
• Experience organizing files in Google Shared Drive and working with spreadsheets.
• Strong organization, careful follow-through, and clear, timely communication.
• Ability to manage priorities independently while working remotely with a team in California.

Responsibilities

• Maintain accurate records in QuickBooks Online, including expense categorization and reconciliations.
• Track labor, material, and subcontractor costs by project to support job costing.
• Create client invoices and progress billings; monitor receivables and follow up on outstanding invoices.
• Organize vendor invoices and assist with accounts payable.
• Keep cash flow information current and prepare regular financial reports for the owner.
• Organize contracts, change orders, proposals, and project files in Google Shared Drive.
• Track subcontractor licenses, insurance documents, renewals, and other compliance records.
• Support scheduling, calendars, and day-to-day administrative needs.
• Help develop practical workflows and documentation, with occasional support for basic marketing tasks.
