Client Context

Our client is an innovative technology company specializing in genomic and predictive medicine, with an international footprint. Based in the canton of Vaud, Switzerland, the company is now one of the leading players in DNA analysis.

In 2022, it began developing a new method for detecting extrachromosomal DNA. As of March 2025, the company announced it had surpassed the milestone of 2 million genomic profiles.

In the context of rapid growth, our client must transform its operations to support the industrialization of its processes while maintaining a high level of customer personalization.

The Supply Chain function — particularly the order intake process — has reached its limits. Initially designed around agile and manual methods, the current infrastructure only allows the handling of a maximum of 50 orders per week, which falls well short of strategic targets. To support company growth, the Supply Chain must be able to manage 1,000 orders per week within the next 12 months. This requires a complete transformation of tools, processes, and interfaces, with an imperative for scalability and large-scale automation.

Job Description

Mission Context:

This assignment is part of a broader strategic transformation program aimed at thoroughly optimizing the Order Entry & Fulfillment process in a high-volume growth context.

This growth must not be accompanied by a proportional increase in human resources. On the contrary, the transformation must reduce operational workload and manual interventions, while improving responsiveness, quality, and reliability.

Two Main Pain Points Are Currently Hindering Scalability

  • Excessive manual tasks dispersed across three different departments, with lead times of up to 45 days for processing a single purchase order (PO).
  • A high error rate on POs: approximately 70% of received POs contain inconsistencies or missing information (e.g. missing customer number, incorrect reference, etc.).

Three Key Objectives Have Been Identified

  • Drastically reduce processing times and manual workload, while maintaining a high level of service quality and personalization.
  • Centralize the order entry process within a single team (currently spread across three).
  • Significantly lower the PO error rate, through automation, better data structuring, and upstream validation controls.

For better understanding, the process currently relies on the following core tools:

  • Microsoft Dynamics 365 Finance & Operations – the main ERP system used for order, delivery, and invoicing management, connected to Salesforce as the CRM platform.
  • Jira Cloud – used as a ticketing tool for order intake and operational tracking (for example a Salesforce opportunity is closed → a Jira ticket is automatically created for order fulfillment → once fulfilled in Dynamics 365, Jira is updated, which then updates Salesforce).

Main Responsibilities

A preliminary scoping phase has already identified the most critical steps in the "Order Entry" process, especially those causing bottlenecks or errors. However, no technical automation solutions have yet been defined or implemented. The consultant will be expected to carry this transformation forward in the following dimensions:

  • Diagnosis and Prioritization
  • Conduct an in-depth functional analysis of the order intake process — from PO reception to its integration into the ERP (Dynamics 365).
  • Build upon the existing audit, identifying high-value steps and those that generate redundancy, errors, or delays (notably, with 70% of POs incomplete or with conflicting errors).
  • Estimate potential gains (in workload, reliability, and lead time) at each step.

Solution Design and Steering

  • Propose a realistic transformation plan combining tools, automation, and process simplification.
  • Define relevant automation use cases (e.g. Power Automate flows, OCR, PO-to-contract matching, etc.).
  • Evaluate interface needs (Dynamics 365 / Jira Cloud / Salesforce) and possible integration methods.
  • Work closely with business (Supply Chain, Customer Service) and IT teams, both internal and external teams.

Structure a practical roadmap to support future growth without disruption, including both quick wins and more fundamental process redesigns. The proposed solution must integrate seamlessly with the existing ecosystem (ERP, business tools, logistics flows) and be modular, scalable, and robust.

Profile / Requirements

Required Consultant Skills:

We aim to hire an ECARIS consultant with the following qualifications:

  • Proven experience in Order Entry process optimization within finance or operations departments, ideally in industrial or tech environments.
  • Ability to build an Order Entry portal to be accessed by our client's clients – ideally to be built in D365 Commerce but we are open to listen to anyone who has had an experience in building a B2B Order Portal that can feed directly onto an ERP in MS Dynamics 365. The key here is being able to map out possible combinations and reject inconsistencies (i.e. if the order is for the US only US bound transport solutions should show as possible, if the order is for the US make sure prices are shown in US Dollars and not Australian Dollars, etc.)
  • Strong command of ERPs in Microsoft Dynamics 365, and in particular the Finance & Operations modules.
  • Understanding of the current system integration challenge (e.g. the ERP and the Salesforce CRM are currently interacting through Jira Cloud).
  • Ability to formalize and prioritize business requirements in resource-constrained environments (data quality, staffing, etc.).
  • A structured, pragmatic, solution-oriented mindset.
  • Experience in scale-up or fast-growing environments, with a high degree of autonomy.
  • Familiarity with automation tools such as Power Automate (a strong asset).
  • Experience in data quality, performance tracking, and process mining tools (e.g. Celonis).
