Description

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our leadership team. The ideal candidate will act as a trusted partner, managing administrative tasks, coordinating schedules, and streamlining daily operations to ensure the executive team can focus on strategic priorities. This role requires exceptional communication skills, discretion, and the ability to multitask in a fast-paced environment.

Responsibilities

  1. Administrative Support:
    • Manage executives’ calendars, schedule meetings, and coordinate travel arrangements.
    • Prepare meeting agendas, take detailed minutes, and follow up on action items.
    • Handle incoming and outgoing communications, including emails, calls, and correspondence.
  2. Project Coordination:
    • Assist with planning and execution of special projects, ensuring deadlines are met.
    • Conduct research and compile reports, presentations, and briefing materials for executive use.
  3. Office Management:
    • Organize and maintain files, records, and confidential documents.
    • Coordinate with vendors, stakeholders, and team members to ensure smooth office operations.
  4. Relationship Management:
    • Serve as a point of contact between executives and internal/external stakeholders.
    • Build and maintain positive relationships with clients, vendors, and partners.
  5. Operational Efficiency:
    • Identify and implement process improvements to enhance productivity and workflow.
    • Monitor and prioritize tasks, ensuring efficient time management for executives.

Qualifications

  1. Experience:
    • Proven experience as an executive assistant, administrative assistant, or similar role (3+ years preferred).
    • Experience in real estate, finance, or a related industry is a plus.
  2. Skills:
    • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
    • Exceptional verbal and written communication skills.
    • Strong organizational and multitasking abilities.
    • High level of professionalism, discretion, and confidentiality.
  3. Personality:
    • Proactive, resourceful, and detail-oriented.
