By joining Pharma International NEST, you will be part of a support team dedicated to advancing innovative medicines and personalized treatments for patients worldwide. This role is crucial in enabling senior executives and teams to operate efficiently and effectively within a global network. As part of the NEST, you will support Basel-based senior executives and teams within Pharma International's global commercial operations by managing day-to-day administrative tasks, coordinating and occasionally leading projects, planning and delivering internal as well as customer-facing events, ensuring seamless workflows, and facilitating effective communication.

The Opportunity
  • Project Support: Provide administrative support for ongoing initiatives and special projects. Collaborate with cross-functional teams to achieve project goals.

  • Meeting Organization: Plan and facilitate meetings for internal and external stakeholders by preparing agendas, scheduling times, and coordinating logistics (venues, catering, tech support). Follow up on action items and ensure timely completion.

  • Calendar Management: Coordinate and manage the daily schedules of senior executives. Ensure timely communication about all meetings and events. Resolve scheduling conflicts and prioritize appointments.

  • Event Coordination: Plan and execute in-person events such as management conferences, preceptorships, and other customer-facing events. Handle all logistical aspects, including travel arrangements, accommodation, venue bookings, and catering. Ensure smooth event operations and provide on-site support as needed.

  • Process Knowledge Development: Stay up to date on processes, be responsible for the knowledge development of processes, and contribute to the update of relevant documentation.

  • AI Integration: Integrate AI tools into everyday operations to streamline processes and improve efficiency. Drive innovation within the administrative team by proposing and implementing AI solutions. Support and consult team members on the use of AI, helping them to upskill and integrate AI into their daily practices..
