Job summary

Macro Group is seeking a Facilities Manager to ensure safe, efficient workplaces in Geneva and Basel, with support across Europe. You will coordinate services, suppliers, budgets and employee experience, working closely with the Account Lead, Regional FMs, Wella and partners.

Qualifications

• Experience in hard and soft facilities management.
• Experience in supplier, contract and stakeholder management, as well as budget and invoice administration.
• Working knowledge of health and safety, risk assessments and emergency procedures.
• Strong organisational, prioritisation, record-keeping and problem-solving skills.
• Clear communication skills, client-focused, adaptable and eager to learn.
• Proficiency in Microsoft Office and CAFM/Concept; ability to use Google Workspace and reporting systems.
• Professional fluency in English.
• Experience in outsourced FM, multi-site or international operations, or working with retail clients.
• Knowledge of Swiss health and safety requirements, including the MSST framework.

Responsibilities

• Support the Account Lead with daily operations and act as the primary facilities contact for client sites and suppliers, resolving service, process and system-access queries and communicating progress.
• Identify and onboard client-requested suppliers, coordinate quotations, tender activities, supplier selection, contract mobilisation, renewals and negotiations.
• Maintain accurate supplier pricing, PPM schedules, contracts, site contacts and approved approvers in CAFM; ensure certificates and compliance records are up to date.
• Issue weekly Concept downloads and reports; monitor P1 jobs and ensure timely assignment per KPIs and SLAs.
• Monitor supplier performance against service specifications, SLAs and KPIs; prepare reports on service performance, safety, budgets and risks.
• Coordinate daily workplace operations and liaise with landlords on facilities-related matters including cleaning, catering, access, and wellbeing facilities.
• Coordinate office moves, workspace changes, minor works and employee logistics; support business continuity and incident escalation.
• Coordinate the Geneva safety programme and compliance with Swiss MSST framework; arrange fire safety measures, first aid, evacuations, audits and risk assessments.
• Escalate significant safety risks and incidents; support investigations and lessons learned; report on safety indicators and overdue actions.
• Manage wellbeing budgets and monitor spend; explain variances and identify sustainable savings without compromising safety or service quality.
• Process weekly invoice batches and validate invoices against POs and contracts; resolve discrepancies and maintain records.
• Update tracking files for financial reporting and budget control.
• Lead wellbeing initiatives in Geneva, including vaccination campaigns and health-awareness sessions.
• Communicate planned works and initiatives through channels; use feedback and data to improve services.
• Support sustainability initiatives, including waste reduction and sustainable mobility.
