Zusammenfassung

CERN in Geneva seeks an Administrative Assistant for the Users Office to deliver customer-focused admin services to an international community of guest scientists. You will assist with registration, personnel formalities and onboarding initiatives to integrate newcomers across the Administration Directorate.

Work includes maintaining records, supporting HCM processes, and collaborating with stakeholders to ensure data accuracy and service continuity while contributing to the rollout of CERN’s

Qualifikationen

  • Max two years of professional experience since graduation in General Administration or related field.
  • Highest educational qualification is a general secondary education diploma.
  • Never had a CERN fellow or graduate contract before.
  • Applicants with Bachelor's, Master's or PhD degrees are not eligible.
  • Spoken and written English; willingness to learn French.

Aufgaben

Job Description

As an Administrative Assistant in the CERN Users Office, you will contribute to the delivery of customer-focused administrative services for CERN's international community of guest scientists, supporting processes related to registration, personnel formalities, and Host State documentation. You will gain hands‑on experience in administrative coordination, stakeholder engagement, and service delivery while contributing to the implementation of CERN's new Human Capital Management (HCM) system and the development of onboarding initiatives that support the integration of newcomers across the Administration Directorate.

Your responsibilities
  • Provide administrative support and guidance to CERN's guest scientists, facilitating registration, personnel formalities, and their integration into the CERN community.
  • Process, maintain, and manage administrative records and documentation, ensuring data quality and accuracy across CERN's information systems.
  • Contribute to the continuous delivery of administrative services by supporting team activities and ensuring service continuity when required.
  • Support the documentation, review, and improvement of administrative and Human Capital Management (HCM) processes, including the collection and analysis of user feedback.
  • Contribute to the development and maintenance of onboarding resources, communication materials, and knowledge‑sharing initiatives that support the successful integration of newcomers across AGS services.
Your profile
  • Initial experience in administrative support, customer service, office administration, or a related field would be considered an asset.
  • Exposure to service‑oriented activities and interaction with a diverse range of stakeholders would be an advantage.
  • Experience maintaining records, documentation, or administrative information would be considered an asset.
  • Familiarity with standard office software and digital collaboration tools.
  • Exposure to onboarding activities, user support, feedback collection, or the preparation of guidance materials would be an advantage.

  • Service‑oriented mindset and ability to interact professionally with a diverse range of stakeholders.

  • Proficiency in Microsoft Office applications and collaborative document management tools.
  • Spoken and written English, with a commitment to learn French.
  • By the application deadline, you have a maximum of two years of professional experience since graduation in General Administration, Customer Service (or a related field) and your highest educational qualification is a general secondary education diploma
  • You have never had a CERN fellow or graduate contract before.

Additional Information

Contract duration: 18 months, with a possible extension up to 36 months maximum.

Working hours: 40 hours per week
