We are seeking a highly organized and detail-oriented individual as an Academic Administrative Assistant to join the world’s leading boarding school, Institut auf dem Rosenberg. As an Academic Administrative Assistant, you will play a vital role in supporting the smooth operation of our academic department and providing administrative assistance to the Head of Academic Faculty and Academic Artisans. This is an exciting opportunity to contribute to the educational journey of students from diverse backgrounds and cultures.

Responsibilities

  • Provide administrative support to departments, including managing schedules, coordinating meetings, and maintaining accurate records.
  • Assist in the coordination and execution of events such as workshops, conferences, and internal meetings.
  • Collaborate with team members to prepare materials including presentations, handouts, and documents.
  • Assist in the creation and maintenance of databases, records, and internal systems.
  • Respond to inquiries from clients, partners, or colleagues, providing timely and accurate information.
  • Support application and onboarding processes by assisting with document review, organizing meetings, and maintaining records.
  • Coordinate with other administrative staff to ensure efficient communication and workflow across teams.
  • Assist in the preparation and distribution of reports, summaries, and official communications.
  • Perform general office tasks, such as filing, copying, and organizing documents.
  • Coordinate purchasing of office and operational materials.

Requirements – Ideal candidates will have

  • Bachelor’s degree in a relevant field (e.g. Administration, Business, or similar).
  • Previous administrative experience in a dynamic office or service-oriented environment.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Experience organizing events and managing small projects.
  • Excellent attention to detail and accuracy in maintaining records and documentation.
  • Strong IT skills, proficiency in using office productivity software such as Google Workspace or Microsoft Office Suite, and a high aptitude for learning new systems.
  • Impeccable English and strong interpersonal and communication skills, with the ability to interact effectively with people from diverse backgrounds.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of international environments and procedures is an asset.
