Zusammenfassung

Roche is seeking an Administrative Assistant to provide organizational and HR support within Global Diagnostics Procurement. You will assist with onboarding, travel logistics, and team coordination while ensuring accurate ERP and document management.

The role requires a university degree or KV apprenticeship, 1–3+ years in similar roles, and fluency in English and German. Strong organization and independent work style are essential.

Qualifikationen

  • 1 to 3+ years of experience in a similar administrative or business support role.
  • Business fluency in English and German (both spoken and written) is required.
  • Highly organized, proactive, discreet, and solution-oriented with strong attention to detail.
  • Nice to have SAP, Simplebuy (myBuy), or Cornerstone LMS.

Aufgaben

  • Executive & Operational Support: provide high-level administrative support to DOP leaders, including calendar management and cross-team backup.
  • Travel & Event Coordination: manage travel logistics and expense reporting, and plan meetings and events.
  • New Hire Onboarding: handle onboarding for new Direct Procurement employees including provisioning and training paths.
  • Training Matrix Implementation: support rollout with People Leaders and guidance throughout.
  • Workforce Administration: assist HR administration for external employees and consultants.
  • Support Leadership Team operations, huddles, and workshops using Monday.com or similar tools.
  • Maintain the department’s G-Site, SOPs, and resource templates.

The Opportunity

As an Administrative Assistant, your day-to-day responsibilities will focus on Organizational & Administrative Support, Onboarding & HR Administration, and Team Coordination & Digital Workplace.

  • Executive & Operational Support: Provide high-level administrative support to DPLT leaders, including proactive inbox management, complex global calendar scheduling, and active cross-team backup coverage.
  • Travel & Event Coordination: Manage end-to-end business travel logistics and expense reporting, alongside the full-lifecycle planning and execution of meetings, seminars, and team events.
  • New Hire Onboarding: Manage the full onboarding lifecycle for new Direct Procurement employees, including administrative requests (hardware/software provisioning) and evaluating/assigning appropriate training paths.
  • Training Matrix Implementation: Partner closely with People Leaders to ensure the smooth transition and implementation of the Training Matrix, providing active guidance throughout the process.
  • Workforce Administration: Provide time-management system support to the Procurement team and handle HR administration for external employees and consultants.
  • Support Leadership Team operations, huddles, and workshops by tracking action items on Monday.com or related platforms.
  • Help maintain the department’s internal G‑Site, standard operating procedures (SOPs), and resource templates.
Who You Are

To be successful in this role, you will ideally bring the following qualifications and competencies:

  • Education & Experience: University degree or commercial apprenticeship (KV) preferred, with 1 to 3+ years of experience in a similar administrative or business support role.
  • Digital Savviness: Strong proficiency in Google Workspace (G‑Suite, Google Drive, Calendar, G‑Sites) and MS Office. Experience with task management tools like Monday.com is a strong plus.
  • Language Skills: Business fluency in English and German (both spoken and written) is mandatory.
  • Mindset & Working Style: Highly organized, proactive, discreet, and solution-oriented with strong attention to detail. Ability to work independently while acting as a collaborative team player.
  • Nice to have: Familiarity with SAP, Simplebuy (myBuy), or Cornerstone LMS.
