Job summary

ALS is seeking an organized office administrator to support data entry and client work orders in our minerals lab. You will enter and file a variety of paperwork, maintain inventory, and liaise with lab staff and supervisors to ensure timely service delivery.

Ideal candidates have at least 6 months of data entry experience, familiarity with WebView and StarLIMS, and a basic chemistry background. The role is on-site with benefits and a competitive hourly wage.

Qualifications

  • Minimum 6 months’ work experience in a commercial minerals laboratory or minerals sample preparation.
  • Experience in data entry capacity required.
  • Background in Chemistry and/or related field is an asset.

Responsibilities

  • Enter and file a variety of paperwork accurately and timely.
  • Maintain inventory and order office supplies.
  • Liaise with supervisors and lab staff to ensure smooth service delivery to clients.
  • Follow up on client enquiries or requests.
  • Check and enter work-order write ups accurately and timely.

At ALS, we encourage you to dream big.When you join us, you’ll be part of a global team harnessing the power of scientific testing and data-driven insights to build a healthier future.General responsibilities :Reporting to the Office Administration supervisor, the priority for this position will be to ensure that client work-orders are entered into the system accurately and in a timely manner and that all standards are followed to ensure client instructions are followed accurately.Specific responsibilities :Processing and filing a variety of paperwork;Maintains inventory and orders office supplies;Maintains close liaison with supervisors and other lab staff to ensure the smooth delivery of our services to clients;Responsible for proper and timely follow-up of client enquiries or requests;Ensures that work-order write ups are checked and entered accurately and in a timely manner;Prepares source data for computer entry by compiling and sorting information and establishing entry priorities;Enters data and maintains entry requirements by following data program procedures. Reviews output to test for accuracy;Follow up on “On Hold” work orders;Assists with editing or creating CPT’s as required;Ensure that ALS Group analytical codes and procedures are being followed;Maintains communication by referring client inquiries to Supervisor or client service personnel;Provides input on quality improvements to the department;In consultation with Supervisor, may assist with investigating client enquiries and complaints related to quality issues and suggest proactive actions;Identifies internal and external problems when they arise and reports them to Supervisor or Manager;Maintain a positive work environment through active team participation with a focus on quality customer service and maintaining client confidentiality;Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;Observe established safety regulations and comply with all ALS health and safety policies and procedures;Other duties as assigned by Manager.Required knowledge, skills and abilities :Pleasant and professional telephone manner;Organized, highly motivated and customer focused individual;Detail oriented individual with a strong commitment to quality and safety;Ability to work independently and/or as part of a team;Ability to effectively handle a high volume of work and time critical issues;Interpersonal skills along with the ability to exercise diplomacy and tact;Familiarity with WebView and StarLIMS;Familiarity with ALS Group analytical codes and procedures;Intermediate English communication skills both written and verbal;Intermediate computer skills including MS Word, Excel, and Outlook.Required qualifications :Minimum 6 months’ work experience in a commercial minerals laboratory or minerals sample preparation required;Previous experience working within a data entry capacity required;Completion of an office administration certificate or diploma preferred;Background in Chemistry and/or a related field would be an asset.Physical demands :Ability to sit and/or stand for up to 7.5 hours per day;Manual dexterity to perform repetitive tasks such as data entry;Reaching by extending hand(s) or arm(s) in any direction.Our Benefits Include:An estimated hourly pay of $21.92CAD at the time of posting.
