Job summary

Newfoundland and Labrador Health Services in Mount Pearl seeks a Word Processing Equipment Operator I to be the first contact for staff, the public and candidates. You will receive visitors, screen calls, provide directions, assist with mail/courier services and support HRIS/Service Now/Footprints data entry and reporting.

You will also help with printing, assembling, sorting, scanning and filing documents while maintaining confidentiality.

Qualifications

  • One-year Office Administration program completed.
  • Considerable administrative experience, preferably in HR, and customer service.
  • Proficiency in MS Office required.
  • Attention to detail, organization, and customer service.
  • Knowledge of HRIS/Service Now/Footprints is an asset.
  • Ability to multitask and meet deadlines.

Responsibilities

  • Greet visitors and answer calls, directing requests.
  • Screen and redirect telephone calls; provide information.
  • Handle mail and courier services; draft form letters.
  • Enter data into HRIS/Service Now/Footprints and run related reports.

Job Summary

The Human Resources Department is searching for a highly professional individual to serve as the first point of contact for staff, the general public and candidates. Your position would receive and welcome visitors and calls, offer direction and assistance, screen and redirect telephone calls, identify problems and attempt to resolve complaints by providing information, or making appropriate referrals. You will also support the collection, sorting and distribution of mail and courier services. Also, your role will involve contacting candidates for interviews, assisting with employment tests, and drafting form letters which involves processing/distributing confidential documents. You will also be involved in a variety of processes related to printing, assembling, sorting, scanning and filing of documents, as well as keying these into HRIS/Service Now/Footprints electronic systems and running various related reports from these systems.

Job Demands
  • Occasionally required to lift or move objects up to 10 lbs., boxes, files, equipment.
  • Regularly required to sit performing work on a computer.
  • Occasionally required to bend, stretch, reach, stand and walk within the office or clinic environment.
  • Regularly required to perform fine finger/precision work while sitting and using a computer mouse to send and respond to emails or work on documents.
  • Visual concentration is required while transcribing, entering or formatting text/data.
  • Auditory concentration is regularly required when performing reception duties or answering the telephone. May experience frequent interruptions from public/clients.
  • Exact results and precision is constantly required when entering data/text, maintaining files and completing statistical reports.
  • Occasionally experiences time pressures/deadlines.
Job Qualifications

Education Successful completion of a one-year Office Administration program from an approved/recognized college is required.*

Experience Considerable administrative experience, preferably in Human Resources, and demonstrated experience in customer service.

Experience Demonstrated experience in MS Office is required.

Competencies Demonstrated attention to detail, superior organizational skills, the ability to prioritize, excellent customer service skills.

Competencies Knowledge of collective agreement administration and compensation and benefits would be an asset.

Competencies Demonstrated exceptional problem solving, interpersonal/communication and organizational skills.

Competencies Ability to multi-task, meet strict timelines, and deal with competing demands.

Competencies Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.

Competencies An Excel, and PowerPoint test may be administered by the Department of Human Resources. Scores of 60 % are required.

Other A satisfactory record of work performance and attendance is required.

*Proof of a current office administration program is required. To be considered current, it must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
