TVH Canada LTD is seeking a Will Call/Claims Receiving Specialist to support our warehouse and claims processes in Port Coquitlam, BC. You will handle physical receipt, inspection, and initial processing of returned parts and claims shipments, while coordinating with customers, carriers, and internal teams.

You will verify documentation, log receipts in the inventory and claims system, and help stage returns for traceability.

Qualifications

  • 2 years of experience in a warehouse, receiving, logistics, or inventory control environment.
  • Forklift Operator Certification required.
  • Proficiency with Microsoft Office and WMS/claims software.
  • Excellent verbal and written communication skills.
  • Ability to regularly lift up to 50 pounds.

Responsibilities

  • Accept, unload, and verify the physical receipt of incoming returned parts and warranty shipments.
  • Match received parts to RMA/claims documentation and log receipts into the system.
  • Conduct preliminary inspection for proper identification and condition.
  • Stage and label returned materials for traceability in designated areas.
  • Serve as primary contact for external customers and carriers regarding returns.
  • Coordinate with Quality Control, Claims, and Inventory teams to resolve discrepancies.
  • Operate forklift safely to load/unload and move items.
  • Maintain a clean, safe receiving area.

Will Call/Claims Receiving SpecialistJob SummaryThe Claims Receiving Specialist plays a critical role in thecompany’s claims and reverse logistics process. This position isprimarily responsible for the accurate and timely physicalreceipt, inspection, and initial processing of returned partsand claimed items. The specialist serves as a key communicationlink, managing inquiries and coordination between internaldepartments, external customers, and carriers regarding returnedmaterials. This role requires a combination of strongadministrative skills and the ability to perform physicalwarehouse tasks, including operating heavy equipment.Essential Duties and ResponsibilitiesClaims and Returns ProcessingPhysical Receipt: Accept, unload, and verify the physicalreceipt of all incoming returned parts and warranty claimsshipments from various carriers.Documentation: Match received parts to corresponding ReturnMaterial Authorization (RMA) or claims documentation and logreceipts accurately into the inventory and claims managementsystem.Initial Inspection: Conduct a preliminary visual inspection ofincoming parts for proper identification, condition, andpotential transit damage.Organization: Stage and organize returned materials in thedesignated receiving or quarantine areas, ensuring properlabeling and traceability.Communication and CoordinationCustomer Service: Serve as a primary point of contact forexternal customers and carriers regarding the status of returnsand scheduling of deliveries.Customer counter desk: Work with the public in receivingapproved claims at the counter desk, addressing customer pickups, handing off orders, administrative assistance at thecounter desk.Internal Liaison: Communicate promptly with the Quality Control,Claims, and Inventory teams regarding discrepancies, damagedshipments, or high-priority returns.Problem Resolution: Assist in resolving discrepancies betweenphysical receipts and claim documentation, escalating complexissues as necessary.Warehouse OperationsForklift Operation: Safely and proficiently, operate a forkliftto unload trucks, move heavy pallets, and position large itemswithin the warehouse.Safety Compliance: Adhere strictly to all company safetypolicies and procedures, especially those related to operatingmachinery and manual material handling.Work Environment: Maintain a clean, organized, and safereceiving area.COUNTER PERSON REQUIRED SKILLSEnsuring the highest level of Customer Service is consistently achieved.PurposeTo provide assistance and a high level of service at our sales counterand support daily activities of the sales group, via direct interaction,phone, and e-mail.Essential Functions & ResponsibilitiesSupport sales to existing customers at the counter conducive to thecompany’s customer service and sales objectives.Respond to incoming calls and customer inquiries and request in anefficient and timely manner and dispatch request to the properpersonnel.Ensure that items in the Customer Service Inbox are responded to in atimely and professional manner.Address and resolve any service related issues such as tracking,shipping, back order status, order related and quality issues withcustomers on a timely basis, in conjunction with sales supportadministration, inside sales and Technical assistance group.Process orders and related invoicing into Salesforce per customer’srequest via phone, and e-mail.Maintain and administer customer account profiles in Salesforce inconjunction with sales staff.Ad Hoc duties as assigned.Required QualificationsExperience: Minimum of 2 years of experience in a warehouse,receiving, logistics, or inventory control environment ispreferred.Forklift Certification: Current and valid Forklift OperatorCertification is required.Computer Skills: Proficiency with basic office software(Microsoft Office Suite) and experience using WarehouseManagement Systems (WMS) or claims processing software.Communication: Excellent verbal and written communication skillswith the ability to interact professionally with internal staffand external customers.Attention to Detail: Meticulous approach to documentation andverifying claims paperwork against physical returns.Physical Requirements and Work EnvironmentStanding/Walking: Must be able to stand and walk consistentlythroughout an 8-hour shift.Lifting: Ability to regularly lift, push, or pull up to 50pounds without assistance.Mobility: Requires frequent bending, stooping, reaching, andclimbing stairs or ladders as needed.
