Help Us Bring Awareness to Life: Volunteer Event Coordinator

The Heather Cutler Foundation is seeking a Volunteer Event Coordinator to lead and support virtual and in-person awareness events that educate, unite, and mobilize communities across Canada in the fight against pancreatic cancer.

You’ll join Team Heather as a core planner and organizer—working behind the scenes and out front to ensure our events are meaningful, inclusive, and mission-aligned. Whether it’s a digital campaign launch, an awareness booth, or other community events, your work will help us engage people where they are, amplify our message, and bring advocacy to life.

As our Event Coordinator, you’ll be at the heart of these efforts, working with a nimble, supportive team to bring advocacy and awareness into communities across Canada—especially the ones often left out of the national conversation.

???? Responsibilities

Plan & Execute Awareness Events

Coordinate both virtual and in-person events—including Pride parades, memorial activations, webinars, and pop-ups—ensuring all logistics and timelines are met.

Venue, Vendor & Community Outreach

Communicate with event venues, city permit offices, community partners, and local businesses to secure support, space, and visibility.

Volunteer & Team Coordination

Collaborate with our Volunteer Coordinator to assign roles, distribute materials, and ensure all team members are prepared for successful execution.

Promotion & Publicity

Support the content team in generating buzz across social media and outreach channels. Help design flyers, email invites, and event pages where needed.

Event Documentation & Feedback

Track event outcomes, gather participant feedback, and prepare basic recap summaries to inform future planning and funding proposals.

  • Event Planning Experience: Comfortable with timelines, checklists, and coordinating multiple moving parts (volunteer, personal, or professional experience all welcome).
  • Strong Communicator: Confident communicating with vendors, partners, and participants—friendly, professional, and clear.
  • Creative Problem-Solver: Able to adapt when plans shift, rain comes, or technology glitches—grace under pressure.
  • Detail-Oriented & Organized: Capable of juggling logistics, deadlines, and people without losing sight of the mission.
  • Collaborative: Loves working as part of a passionate, purpose-driven team.
  • Advocacy-Aligned: Belief in equity, cancer awareness, and creating public spaces that educate and include.

???? Role Details

  • Location: Remote with some optional in-person support (NL-based preferred but open to all)
  • Time Commitment: ~4–6 hours/week, with increases around event dates
  • Employment Type: Volunteer
  • Start Date: As soon as possible
  • Duration: Minimum 3–6 month commitment preferred
  • Supervised by: Founder & Operations Lead
