The Salvation Army Ontario Distribution Centre in Toronto is seeking a Volunteer Coordinator to support the Manager of Volunteers and run the Behind the Shield program, coordinating volunteer administration and inquiries.

You will onboard volunteers, manage schedules in MyImpact, ensure OHSA safety, and help with events and reporting.

Responsibilities

  • Triage volunteer scenarios and pre-screen new volunteers in line with criteria.
  • Maintain inventory levels for volunteer warehouse supplies and place re-orders.
  • Manage inbound/outbound volunteer emails for the ODC account.
  • Assist with group volunteer opportunity planning records and scheduling.
  • Manage volunteer shifts in the MyImpact system with adjustments for corporate requests.
  • Support yearly volunteer plans and Volunteer Appreciation events.

  • Generate daily outbound reports for inventory and volunteer teams.

Job Description:
Position Purpose summary:

The Volunteer Coordinator provides support to the Manager of Volunteers, coordinating delivery of all required volunteer administrative support services for The Salvation Army (TSA) Ontario Distribution Centre (ODC) 'Behind the Shield' Volunteer Program and as an assist to the Manager of Volunteers other duties where needed. They perform daily tasks related to volunteer administration operations and responds to volunteer inquiries via phone and email and provides a welcoming atmosphere for volunteers entering ODC.

ACCOUNTABILITIES:
  • Triage volunteer scenarios, specifically pre-screening processes for new volunteers, ensuring alignment with volunteer registration acceptance criteria.
  • Ensure all volunteer warehouse supplies inventory levels are maintained, and re-orders are placed in a timely manner to outages.
  • Ensure effective and accurate management of inbound and outbound emails received through the ODC volunteer email account etc.
  • Assist Manager, Volunteers and Durable Goods with the maintaining accurate records of group volunteer opportunity planning where needed.
  • Manage administration of the volunteer shifts in the MyImpact volunteer platform with case-by-case adjustments for corporate team requests.
  • Assist Manager, Volunteers and Durable Goods with yearly strategic volunteer plans and Volunteer Appreciation event.
  • Provide onboarding to new volunteers; ensures volunteers receive, complete, and return required forms in a timely manner.
  • Maintain filing systems for volunteer documentation.
  • Provide orientation of the ODC Warehouse Health and Safety measures to volunteers and provide specific sorting activity orientation.
  • Provide documentation of completed volunteer hours to volunteers, upon request.
  • Seek continually to improve the Volunteer program, processes and policies, and volunteer activities and facilitation documentation, as needed.
  • Ensure ODC volunteer standards and policies are upheld.
  • Responsible for reporting any volunteer problems per policies and procedures.
Volunteer Warehouse Operations:
  • In consultation with the Manager, Volunteers and Durable Goods prepares Volunteer Rooms with snacks, cleanliness, aprons and glove supplies, volunteer orientation documentation.
  • Maintain a clean and organized environment for volunteers in the workplace, such as the volunteer rooms and production areas where volunteers perform activities.
  • Ensure effective and accurate management of volunteers.
  • Facilitate Volunteer Sorting and Bagging Activities and TSA ODC Durable Goods order fulfillment with the volunteers.
  • Ensure the smooth operation of the ODC volunteer functions.
  • Generate daily volunteer outbound reports for both Inventory Management and Manager of Volunteers as required for groups.
  • Provide group volunteer outbound reports to group volunteer team and leader (following the shift). Performs other duties as required.
Warehouse:
  • Perform shipping and receiving of goods using a forklift or other power equipment as certifications allow.
  • Pickup, sort, put-away, pack and ship.
  • Fulfill TSA Ministry Unit requests for durable goods for delivery.
  • Accurately count and weigh product being delivered or shipped.
  • Assist with inventory reconciliation.
  • Use Warehouse Management System to record / facilitate warehouse operations.
  • Perform general cleaning and maintenance tasks of warehouse, yard and equipment as required.
  • Ensure that work is completed in a safe manner, in accordance with the Ontario Occupational Health & Safety Act (OHSA) and TSA policy,
  • Perform other related duties as required.
WORKING CONDITIONS:
  • This is a regular full-time position based on 40 hours per week.
  • Overtime will be required during the Christmas season.
  • The Supervisor will set the hours of work and work schedule.
  • Ability to adapt to a flexible work schedule during peaks and/or seasonal times.
  • Work typically performed in an office and warehouse environment with exposure to monotony of work (repetitive tasks).
  • Ability to lift/move up to 39 lbs. without assistance.
  • Responsible for working in compliance with the Ontario Occupational Health & Safety Act (OHSA) and regulations.
