Visitor and Library Assistant
Integrated Services Unit, Corporate Services Department

Permanent position, Category 13 - Hiring range $55,503- $61,452

New vacancy – One position

Reporting to the Manager, Integrated Services, the Visitor Services and Library Assistant is the primary front‑line representative for visitors and callers to the College. The role provides in‑person reception services, supports day‑to‑day library operations, and contributes to creating a welcoming, accessible, and service‑oriented environment. This position is also responsible for select facilities support tasks, including catering assistance and event set‑up and tear‑down.

French language proficiency testing may be administered in the recruitment process.

Responsibilities:
Visitor and Reception Services
  • Serve as the first point of contact for visitors, staff, Council members, and vendors at the College’s main reception point within the library space.
  • Greet visitors, manage sign‑in procedures, and provide general organizational information.
  • Answer and redirect incoming calls; provide routine information on hours of operation, meeting locations, and general inquiries.
  • Maintain a professional, organized, and welcoming reception and library environment.
  • Monitor visitor activity and elevate concerns as required.
Library and Resource Support
  • Provide in‑person support to library users, including check‑in/out of materials and responding to general inquiries.
  • Assist with shelving, labeling, and basic collection maintenance.
  • Prepare and package books for shipment; maintain accurate shipping and return records.
  • Create display materials that support outreach and promote available resources.
  • Maintain basic library operations in the Librarian’s absence.
Facilities, Catering and Event Support
  • Assist with meeting and event logistics, including room set‑up, furniture adjustments, and tear‑down.
  • Support catering requests by preparing spaces, coordinating deliveries, replenishing supplies, and ensuring cleanliness before and after functions.
  • Collaborate with Facilities and Production teams as required for smooth event execution.
Administrative Support and Other Duties
  • Maintain logs, forms, and directories relevant to reception and library operations.
  • Support internal mailouts related to library services.
  • Escalate technical, facilities, or safety concerns promptly.
  • Perform other duties as assigned by the Manager.
Qualifications, Skills and Experience:
  • 1–2 years of experience in a front‑line service, reception, library, hospitality, or facilities support environment.
  • Post – secondary education in library studies, office administration, hospitality, or related fields is an asset.
  • Bilingualism in English and French (oral and written) required.
  • Commitment to EDIA and accessibility principles.
  • Strong interpersonal and customer service skills with a professional and welcoming approach.
  • Ability to manage multiple tasks, prioritize, and adapt in a dynamic environment.
  • Attention to detail and commitment to accuracy.
  • Ability to assist with room setup and configuration.
  • Proficiency with Microsoft Office and comfort with basic library or database systems.
  • Ability to work both independently and collaboratively.
Working Conditions / Other Considerations
  • Primarily onsite, five days per week, in a front‑facing environment.
  • Occasional exposure to challenging interactions with visitors.
  • Combination of desk‑based reception work and light physical tasks (shelving, room setups).
