Base pay range

$48,000.00/yr - $75,000.00/yr

The Virtual Production Coordinator reports to the Virtual Production Manager and Virtual Producer. Production Coordinator will oversee and support various tasks and projects within the Eyeline departments to ensure efficient operations and successful project completion across global remote teams. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with team members and external partners.

Key Responsibilities

  • Project Management: Plan, coordinate, and execute projects, ensuring they are completed on time, within scope, and budget
  • Communication: Serve as a point of contact between different departments, clients, and stakeholders to facilitate smooth information flow
  • Scheduling: Arrange and manage schedules, meetings, and appointments for team members and ensure timely communication of changes
  • Documentation: Maintain accurate records, files, and documentation for projects and departmental activities
  • Reporting: Capable of independently preparing and presenting regular reports on project status, department activities, and other relevant metrics contributing to overall team efficiency
  • Problem-Solving: Identify and resolve any issues or conflicts that arise during project execution
  • Virtual Production Knowledge: Possess a basic understanding of virtual production tools, departments, and pipelines; hands-on experience managing or using them is a strong plus
  • Communication & Accountability: Demonstrate strong written and verbal communication skills with the ability to drive actions, follow up on tasks, hold team members accountable, and ensure timely delivery and resolution
  • Support: Provide administrative support to the team, including preparing correspondence, handling tickets, and managing office supplies
  • Review Facilitation: Demonstrates the ability to effectively run creative or technical reviews, ensuring all stakeholders are aligned and next steps are clearly communicated and followed through
  • Process Improvement: Actively suggests workflow optimizations and supports the implementation of organizational tools and processes that enhance team productivity and collaboration




Qualifications

  • Excellent organizational and time management abilities, able to identify and manage priorities
  • Excellent written and verbal communication skills
  • Ability to collaborate effectively with cross- functional teamsProficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Attention to detail and problem-solving skillsEffectively coordinates the resolution of problems and roadblocks as they occur
  • Proficiency in production management software such as Flow (formerly Shotgrid/Shotgun) or equivalent tracking tools
  • Familiarity with project management software (e.g. Smartsheets, Airtable, Miro, Bluescape. ClickUp) is a plus
  • Ability to remain calm and confident under pressure, cope well with fast paced environments and short deadlines, be adaptable, use initiative, have a positive attitude
