York Region is seeking a casual on-call Scheduling Clerk in Court Services to coordinate a range of court lists and notices, ensuring alignment with regional policies. The role involves handling enforcement calendars, coordinating with officials, and supporting the judiciary.

Qualifications

  • Post-secondary diploma/certificate (1 year or more) in Business Administration or Professional Program or related field.
  • Minimum three (3) years experience in an office environment, including demonstrated legal or court experience using ICON database.
  • Satisfactory Police Criminal Background Check and annual police security clearance
  • Demonstrated knowledge of relevant Standards, Acts and Regulations
  • Demonstrated ability in the Region’s core competencies.

Responsibilities

  • Organizes and schedules a range of court hearings and trial lists.
  • Maintains officer availability schedules and updates the ICON database.
  • Prepares notices of trial within timelines and liaises with internal/external partners.
  • Provides administrative support to the team lead, management and judiciary.
  • Responds to public inquiries and maintains information per legislative and corporate standards.
  • Participates in committees, work groups and special projects as assigned.

ABOUT THE ROLE

This position is responsible for scheduling a range of court cases before officials and administering court lists according to regional judicial policies and directives. Also responsible for sending out trial notices and coordinating all enforcement calendars. Completes special projects as assigned.

WHAT YOU'LL BE DOING
  • Organizes trial requests prior to scheduling.
  • Makes changes to officer availability schedules from a variety of enforcement agencies and maintains in database.
  • Schedules a range of court hearings before judicial officials.
  • Schedules matters taking into consideration court master plan, officer availability and internal protocols.
  • Assists team lead in maintaining court lists utilized to established scheduling practices.
  • Coordinates changes to court lists to respond to a variety of circumstances and to officer availability from various enforcement agencies.
  • Processes documents and orders liaising with internal and external partners.
  • Prepares and send out notices of trial within timelines.
  • Provides motion dates as needed.
  • Reviews trial dockets on a regular basis to backfill tiers to maximize court time.
  • Provides administrative and support services to team lead, management and judiciary.
  • Provides assistance to the public, responds and investigates inquiries from various partners.
  • Maintains and updates various systems, manuals etc.
  • Ensures that services provided meet Regional customer service standards.
  • Participates on committees, work groups, task forces and special projects, as assigned.
  • Manages information in accordance with legislation and corporate standards.
  • Performs other duties as assigned, in accordance with Branch and Department objectives.
WHAT WE'RE LOOKING FOR
  • Successful completion of a Post Secondary Diploma/Certificate (1 year or more) in Business Administration or Professional Program or related field or approved equivalent combination of education and experience.
  • Minimum three (3) years experience in an office environment, including demonstrated legal or court experience using the Integrated Court Offences Network (ICON) database to retrieve and access data.
  • Satisfactory Police Criminal Background Check and annual police security clearance
  • Demonstrated knowledge of relevant Standards, Acts and Regulations.
  • Demonstrated ability in the Region’s core competencies.
