Job summary

CI Financial is seeking a Transfer Administrator to ensure efficient transfer of client assets to and from CI Investment Services (CIIS), handling registered and non-registered transfers including mutual funds, stocks, bonds, and cash. You will verify documentation, input codes, and coordinate with settlement to meet deadlines.

The role requires 3+ years in financial services, CSC/IFIC asset considered, and strong MS Office skills.

Qualifications

  • Minimum 3+ years’ work experience in a similar role or within financial services.

Responsibilities

  • Complete movement of assets from other financial institutions into CIIS and assets from CIIS to external institutions.
  • Ensure Transfer requests are documented, signature guaranteed, and initiated.
  • Process Automated ATON transfers via CDS within deadlines.
  • Research ISIN, CUSIP, or mutual fund codes on CDS/DTC and coordinate with settlement.
  • Follow up on aging Transfer IN requests (10/15/20 business days).
  • Communicate with external parties to confirm asset holdings and standing instructions.
  • Complete forms for Locked‑In Plans and RESP transfers; coordinate with Registered Products Team.
  • Support CRA requirements with the team as needed.
  • Handle inquiries from Support/AOH and maintain SLAs; deposit cheques and update client notes.
  • Navigate CDS/CDS terminals; stay updated on depository changes.
  • Perform ad‑hoc filings and other tasks as needed.

Job description

Furthermore, it is the duty of the Transfer Administrator to ensure each Registered Transfer request is accompanied with the appropriate provincial and/or federal documentation, relating to account transfers.This role is responsible for the completion of all registered and non-registered account transfers; which include investments in Mutual Funds, stocks, bonds, money market positions (GIC’s) and cash transfers into CIIS.WHAT YOU WILL DOComplete the movement of assets from other financial institutions into CIIS and assets from CIIS to external institutions.Ensure Manual Transfer requests / documentation is received in good order; signature guarantee the request and initiate the Transfer to the relinquishing institution.Complete Automated “Transfer In” and “Transfer Out” requests that flow through the Account Transfer Online Notification (ATON) system via the Canadian Depository System (CDS) by initiating or accepting the request on ATON within IIROC regulated deadlines.When necessary, research and input ISIN, cusip or Mutual fund codes on CDS/DTC and advise internal settlement department to release and segregate assets from appropriate depository.Follow-up on all outstanding Transfers IN requests that have aged at the 10; 15 and 20 business day timelines.Ensure all residual amounts are handled effectively allowing for account status to be closed.Communicate with external parties to confirm whether assets being received or delivered are permitted to be held, and that standing settlement instructions are acceptable prior to executing the Transfer IN / OUT.Complete and submit to relinquishing Trustees various registered transfer documentation relating to Locked IN Plans as well as RESP Plans which include Locked IN Agreements; RESP Transfer Forms A – B and C. Communicate with the Registered Products Team to ensure we fulfill CRA requirements prior to the delivery or receipt of registered assets.Research inquiries submitted by our Support team or Account Opening Help Desk (AOH) specific to pending Transfer IN / OUT requests received for processing within established SLAs.Manage internal email box (VB Transfer) to ensure all inquires are handled within the established service level expectations.Process cheques received relating to Transfer IN requests by depositing monies into the client account and update client notes section of assets received.Navigate and understand the DTC,CDS, terminals to help execute Transfer request. Keep up to date with any industry updates through portal notices around: depository platform changes, regulations and various status updates and availability of a wide variety of investments. Ensure such information is shared with internal and external parties as part of completing the Transfer process.Work on other ad-hoc duties / projects as needed (such as filing, assisting other functions within Operations as needed, etc.)WHAT YOU WILL BRINGMinimum of 3+ years’ work experience in similar role or within financial services industry.Highschool diploma or equivalent; post-secondary education in Finance or Accounting, or a related field an asset.Completion of Canadian Securities Course (CSC), IFIC Mutual Funds Course, and/or other related industry education would be an asset.Must have a solid understanding of Mutual Fund or securities basics.Proficient with Microsoft Office applications, specifically Word, Excel, Access and Outlook.Strong working understanding of following: Canadian Depository for Securities (CDS), Canadian Derivatives Clearing Corporation (CDCC); National Securities Clearing Corporation (NSCC); Depository Trust Company (DTC).Excellent organization and planning skills.Excellent communication (written and oral) and interpersonal skills.Able to work well under pressure with demanding workloads in a deadline-oriented environment.Able to take initiative and work independently or in a team environmentFlexibility to work on varied projects and assignments outside of daily assigned tasksHigh degree of accuracy and attention to detail.Ability to research issues and analyze information to problem solve issues.Must be flexible and able to work overtime during specific seasonal busy periods (i.e. Year End, RSP season).This role follows our in‑office work model and requires employees to be onsite four days per week to support collaboration and business needs.This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $34,320 to $58,500. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program.
