Job summary

CI Investments Inc. seeks a Transfer Administrator to ensure efficient asset transfers into CI Investment Services and out to external institutions, adhering to all industry guidelines and deadlines.

You will handle both manual and automated transfer requests, verify documentation, and coordinate with multiple teams to meet CRA and depository requirements, while maintaining strong attention to detail.

Qualifications

  • 3+ years in a similar financial services role.
  • Post-secondary education in Finance or Accounting is an asset.
  • CSC/IFIC or similar industry courses are an asset.
  • Solid understanding of mutual funds or securities.

Responsibilities

  • Move assets between institutions, in kind or cash, to CI Investment Services or vice versa.
  • Ensure transfer requests are complete with required documentation.
  • Process automated Transfer In/Out via ATON and CDS within deadlines.
  • Input ISIN, CUSIP, or fund codes on CDS/DTC and coordinate with settlement.
  • Track outstanding transfer requests and ensure timely completion.
  • Manage residuals to close accounts and confirm standing settlement instructions.

Job description

The responsibility of the Transfer Administrator is to ensure the efficient transfer of client account assets either 'in kind' or 'in cash' to CI Investment Services (CIIS) or from CIIS in a manner that meets all industry guidelines and deadlines. The role will also ensure each Registered Transfer request is accompanied with the appropriate provincial and/or federal documentation relating to account transfers.

What You Will Do
  • Move assets from other financial institutions into CIIS and assets from CIIS to external institutions.
  • Ensure Manual Transfer requests and documentation are received in good order, sign the guarantee and initiate the Transfer to the relinquishing institution.
  • Complete automated 'Transfer In' and 'Transfer Out' requests that flow through the Account Transfer Online Notification (ATON) system via the Canadian Depository System (CDS) within IIROC regulated deadlines.
  • Research and input ISIN, CUSIP or Mutual fund codes on CDS/DTC and advise the internal settlement department to release and segregate assets from the appropriate depository.
  • Follow up on all outstanding Transfers IN requests that have aged at the 10, 15 and 20 business‑day timelines.
  • Handle all residual amounts effectively to allow for account status to be closed.
  • Communicate with external parties to confirm whether assets being received or delivered are permitted to be held and that standing settlement instructions are acceptable prior to executing the Transfer IN / OUT.
  • Submit registered transfer documentation relating to Locked‑IN Plans and RESP Plans (Locked‑IN Agreements; RESP Transfer Forms A–B and C) to relinquishing Trustees.
  • Coordinate with the Registered Products Team to ensure CRA requirements are fulfilled before delivery or receipt of registered assets.
  • Research inquiries from the Support team or Account Opening Help Desk regarding pending Transfer IN / OUT requests and process them within established SLAs.
  • Manage the internal VB Transfer mailbox and ensure all inquiries are handled within service‑level expectations.
  • Process cheques received for Transfer IN requests by depositing monies into the client account and updating the client notes section of assets received.
  • Navigate and understand the DTC, CDS terminals to help execute Transfer requests.
  • Keep up‑to‑date with industry updates through portal notices on depository platform changes, regulations and status updates; share this information with internal and external parties as part of the Transfer process.
  • Perform other ad‑hoc duties or projects as needed (e.g., filing, assisting other functions within Operations).
What You Will Bring
  • Minimum of 3+ years’ work experience in a similar role or within the financial services industry.
  • High‑school diploma or equivalent; post‑secondary education in Finance or Accounting, or a related field is an asset.
  • Completion of Canadian Securities Course (CSC), IFIC Mutual Funds Course, and/or other related industry education is an asset.
  • Solid understanding of Mutual Fund or securities basics.
  • Proficiency with Microsoft Office applications (Word, Excel, Access, Outlook).
  • Strong working knowledge of the Canadian Depository for Securities (CDS), Canadian Derivatives Clearing Corporation (CDCC), National Securities Clearing Corporation (NSCC), and Depository Trust Company (DTC).
  • Excellent organization, planning, written and oral communication and interpersonal skills.
  • Ability to work well under pressure, meet demanding workloads and deadlines.
  • Initiative and ability to work independently or in a team environment.
  • Flexibility to work on varied projects and assignments outside daily tasks.
  • High degree of accuracy and attention to detail.
  • Research and problem‑solving skills.
  • Willingness to work overtime during specific seasonal busy periods (e.g., Year End, RESP season).

The anticipated base salary range for this position is $34,320 to $58,500. Exact salary depends on experience, skills, education and budget; it may vary based on geographic location. The role is eligible for participation in a bonus program.
