Temporary Guidance Secretary (E)

Forest Heights Collegiate Institute, Kitchener, Ontario, Canada

Duration: 35 hours per week, effective January 2, 2026 to February 20, 2026 (with possibility of extension).

Position Overview

Reporting to the Principal through the Office Supervisor, the successful applicant will support the activities of the Guidance Office and its day‑to‑day operations.

Order of Consideration

  • Qualified permanent ESS/OSSTF Bargaining Unit employees.
  • Qualified probationary, temporary and Temporary Hourly Rated (THR) ESS/OSSTF employees.
  • Qualified external applicants (includes employees from other Bargaining Units).

Responsibilities

  • Support the vision, philosophy and procedures of the school;
  • Provide administrative support to the school’s Guidance Office;
  • Interact positively with students, staff and community;
  • Maintain and supervise the distribution, receipt and storage of Ontario Student Records (OSR) information files;
  • Perform computer functions in Aspen, including maintenance of student scheduling, registration and retirement, sharing and end sharing students, maintaining credit history in transcript window, entering SHSM certificates, receiving and entering community service hours;
  • Produce reports as needed including transcripts, SHSM records and report cards;
  • Send and track OCAS and OUAC data for student applications;
  • Provide assistance with the preparation and completion of ONSIS submissions;
  • Assist with the preparation of materials for various information meetings including the course calendars and course selection materials;
  • Maintain inventory of supplies for the Guidance Office;
  • Other duties as assigned by the Office Supervisor and/or Principal.
