Temporary Full Time Staffing Clerk- MNU-26-16

Vacancy Date: October 5, 2026 - October 4, 2027

Hours of Work: 70 hours per pay period

Wage: Hourly: $28.84 - $30.60

This posting is for an anticipated vacancy.

The Staffing Clerk ensures appropriate staff teams are at work to support the needs of clients. The Staffing Clerk prepares staffing schedules in accordance with appropriate collective agreements, memoranda of agreements and understanding, and provides current data and reports to inform current and future staffing needs.

All employees are responsible to ensure the intent and purpose of Ongwanada's mission, vision, values and service principles, strategic and operational plans are consistently promoted and implemented. All employees are also required to fulfill their responsibilities as identified in legislative, regulatory, policy and procedures required by the agency to operate effectively.

Primary Duties and Responsibilities
Scheduling & Staffing
  • Create, update, and maintain employee schedules.
  • Update and maintain employee availability.
  • Receive and respond to requests for staff replacements due to short- or long-term leaves of absences, and or additional staffing needs from Supervisors/Managers.
  • Monitor schedules proactively to avoid gaps in coverage and maintain accurate records in the scheduling system.
  • Respond and assist with urgent scheduling needs, including unexpected client requests or staff changes, to prevent disruptions in care.
Employee Support & Communication
  • Act as the primary contact for team members regarding shift assignments, updates, and availability.
  • Communicate scheduling details clearly to team members and ensure they are informed of any changes.
  • Address scheduling conflicts such as last-minute cancellations, shift swaps, and availability changes efficiently.
Records & Scheduling Systems
  • Maintain accurate and up-to-date scheduling records, files, and reports.
  • Ensure precise data entry and effective use of scheduling software systems.

Education/Qualifications Required
  • Certificate in office administration, or related education.
Experience Required
  • 1-2 years experience working in a high-volume scheduling environment.
  • Experience working in a unionized environment preferred.
  • English/French verbal and written skills as asset.
Effort Required
  • Sitting for long periods of time at a desk/workstation.
  • Responding to multiple enquiries.
  • Activities may lead to minor stress.
Working Conditions
