Job summary

Elmira District Community Living is seeking a Scheduling Coordinator to support daily staffing across programs in Canada. Under the Human Resources Manager, you’ll develop schedules, manage availability, and ensure coverage in line with collective agreements.

This role emphasizes accuracy, discretion with confidential information, and collaboration with managers to minimize staffing risks. Familiarity with UKG is preferred; prior unionized environment experience is a plus.

Qualifications

  • Diploma or equivalent work experience in Human Resources, Business Administration, Office Administration or a related field.
  • Minimum of 2 years of experience in workforce scheduling, staff coordination, or a related administrative role.
  • Experience in a unionized environment is strongly preferred.
  • Demonstrated knowledge of collective agreements, seniority rules, scheduling practices and the Ontario Employment Standards Act.
  • Experience using workforce scheduling or HRIS software (UKG preferred).
  • Strong proficiency in Microsoft Office.
  • Experience handling confidential employee information with discretion and professionalism.

Responsibilities

  • Prepare and publish employee schedules and build schedules according to collective agreement requirements.
  • Identify open shifts, coordinate replacement staffing and fill vacant shifts.
  • Process employee availability forms and maintain availability records.
  • Process vacation, floater and leave requests.
  • Ensure schedule accuracy in the UKG system.
  • Respond to scheduling inquiries and coordinate with managers regarding staffing needs.
  • Ensure schedules comply with collective agreement requirements, employment standards, internal policies and staffing ratios.
  • Attend staff meetings and maintain professionalism while supporting the HR team.

What will you do?

Under the direction of the Human Resources Manager, this position will be responsible for daily and weekly scheduling responsibilities, which include, posting and filling of shifts, handling sick calls, processing time off requests as approved by all Managers and ensuring that all shifts have complete or adequate coverage.

Schedule Development
  • Prepare and publish employee schedules
  • Build schedules according to collective agreement requirements
  • Maintain appropriate staffing levels
  • Ensure coverage across programs and locations
Shift Coverage Management
  • Identify open shifts; coordinate replacement staffing and fill vacant shifts
  • Manage call-ins and last-minute staffing adjustments
Availability Management
  • Process employee availability forms and maintain availability records
  • Apply availability accurately when scheduling
Time-Off Administration
  • Process vacation, floater and leave requests
Scheduling System Administration (UKG)
  • Ensure schedule accuracy in the system
Communication & Coordination
  • Respond to scheduling inquiries
  • Coordinate with managers regarding staffing needs
  • Escalate staffing concerns when coverage risks exist
Scheduling Compliance
  • Ensure schedules comply with:
    • Collective agreement requirements
    • Employment standards
    • Internal scheduling policies
    • Staffing ratio requirement

  • Always conduct themselves in a positive and professional manner
  • Maintain confidentiality between programs
  • Always communicate positively regarding staff and those we support
  • Respect for the confidentiality of co-workers, agency and those we support
  • Work within agency policy to resolve issues and concerns within the department to reach a constructive and positive outcome
  • Provide support as required to the broader HR team

Qualification Requirements:

  • Communicates schedule changes clearly and promptly.
  • Strong collaboration skills, working closely with managers to understand scheduling needs and nuances.
  • Able to build strong, positive relationships with all staff members and managers.

Renumeration:

Rate of pay: $26.86 - $28.32 per hour in accordance with our Collective Agreement.

Additional Requirements

Employment may be conditional upon successfully completing a Vulnerable Sector Police Check and meeting any other position-specific requirements. Applicants must be legally entitled to work in Canada.
