Job summary

The Town of Whitby is seeking a Building Permit Clerk to support the Planning Administration Services team. You will handle permit applications, data entry in AMANDA, invoicing, correspondence, and customer inquiries while ensuring accurate records.

The role is full-time, hybrid, with a salary range of $31.32 to $39.16 per hour, and a comprehensive benefits and pension package.

Qualifications

  • Post-secondary diploma in Business Administration or Office Administration required.
  • Minimum of one (1) year related experience.
  • Proficiency with MS Office (Word, Excel, Outlook); familiarity with AMANDA and CityWorks.

Reporting to the Supervisor, Administration, the Building Permit Clerk is responsible for various administrative and data entry duties to assist the building services division, including:

  • Entering and editing of permit applications and data in AMANDA
  • Preparing correspondence
  • Processing invoices and cashier duties
  • Ordering of office supplies
  • Responding to customer inquiries via phone, email and in person
  • Monitoring the Building Division email account
  • Compiling and reviewing various reports
  • Responding to FOI requests
  • Entering and responding to Cityworks requests
  • Provides back‑up support for other positions

Using your knowledge and experience in the field allows you to navigate through difficult interpersonal situations in a positive manner. You demonstrate adeptness in conflict resolution and approach situations with the goal to improve communication, diffuse tension and resolve problems.

What You Bring To Our Team

As the successful applicant, you must possess:

  • A post‑secondary diploma in Business Administration or Office Administration
  • A minimum of one (1) year related experience
  • A demonstrated knowledge of computer programs, including an intermediate level of proficiency with MS Office (Word, Excel, Outlook), Amanda and City Works

Salary Range/Hourly rate: $31.32 - $39.16

Hybrid information

Frontline Hours: Current shift schedule: Monday to Friday, 8:30 a.m. – 4:30 p.m., 35 hours per week. Hours of work may be subject to change, shifts may be scheduled between the hours of 6:00 a.m. and 9:00 p.m., Monday to Saturday.
