Job Summary
Primarily responsible for Project coordination and Financial control for PMO. This role demands a keen analytical mind, attention to detail and working with various stakeholders. The ideal candidate will have experience in financial control including invoicing, budgeting, supporting project governance, and supporting other areas including but not limited to Business Continuity and Audit, preferably within the banking or financial services sector
Major Responsibilities
- Project Coordination and Financial Control for PMO
- Assist the Project Manager in monitoring, controlling, and administering the project progress and performance and other aspects of project management (scope, time, cost, quality and risk).
- Analyze and identify discrepancies between the estimated, actual time and cost spent on a given project.
- Provide project planning support, including scheduling, budgeting, performance monitoring, variance analysis, status reporting, and resource planning
- Lead the evaluation of the project time, cost, and quality targets, applying governance controls as necessary to enable the successful delivery of the project.
- Identify trends and root causes of deviations against the baseline using lead and lag indicators, recommend remedial actions with project managers.
- Coordinate and lead estimating effort with all disciplines to compile the project budget for each phase of project development.
- Perform proper tracking of the project schedule and budget to proactively apply corrective actions/measures when necessary.
- Responsible to issue, with the support of the Project Manager, the required status report and dashboard for internal and external stakeholders, including executive level dashboard.
- Ensure project control procedures and policies are executed and functioning according to our client’s methodology & performance standards for all projects.
- Processing project invoices on a weekly basis as per the project requirements
- Track project invoicing and payment schedules progress
- Project Governance
- Support PMO Lead in ensuring PMO standards are upheld throughout the entire process of each project’s development and execution
- Coordinate with delivery PM’s for project/program health checks through active monitoring of KPI with corrective action follow-ups
- Support PM Lead in ensuring all project documentation (PFRs, CCRs, Resource Plan etc.) are quality checked and meet the requirements of the methodology followed by the Bank
- Coordinate with Finance department to provide guidance for project setup on financials, purchasing, project structure, schedules, and document management
- Process / Performance Improvement
- Continuously assess and analyze existing processes/ procedures.
- Identifying areas for improvement, designing and implementing process changes.
- Collaborating with IT leadership to identify areas of improvements in processes.
- FinOps under Cloud cost management
- Track and Monitor Cloud Spending: Continuously monitor and analyze cloud spending to ensure it aligns with budgetary constraints and business goals.
- Collaboration with IT Teams for cost optimization
- Budget Forecasting: Develop accurate budget forecasts for cloud spending based on historical data and future projections.
- Reporting and Analytics: Work with internal teams to generate detailed financial reports on cloud spending, usage trends, and cost-saving measures.
- Data-Driven Decision Making: Use analytics to provide actionable insights to stakeholders, helping them make informed decisions
- Identify Financial Risks: Work with stakeholders to identify potential financial risks associated with cloud spending and develop strategies to mitigate them.
- Business Management:
- Work in conjunction with the Director, in the accurate analysis and development of accurate business operational strategies and reporting requirements for the Program and Portfolio deliveries.
- Collects and disseminates information related to projects and IT Department.
- Coordinates and executes procurement and vendor management activities.
- Assist in coordinating Yearly Audit activities for MUFG Canada Branch. e. Coordinate and develop ITD operational reporting and facilitate weekly meeting.
- Risk and Audit Management: Coordinate audit activities and maintaining Open Issues log and risk metrics for ITD g. Perform other related administrative tasks as required and assigned.
- Business Continuity Management Support:
- Coordinate Business Continuity tasks amongst Canada Branch and liaise with Head Office and Americas Business Continuity Teams on Canada’s reporting.
- In conjunction with the Business Continuity Planners, support and coordinate the delivery, tracking and reporting of the BCM lifecycle including BIA’s, BCP’s, coordinate the testing of recovery support and business resumption procedures in different functional areas.
- Assist in the coordination of the planning, development and reporting of recovery exercises and associated test plans – considering facilities, staff, technology, internal and external dependencies.
- Communications:
- Ability to develop process and survey’s, collect data, complete analysis and develop reports.
- Develop presentations, training materials, procedure and standards
- Collaboration with ITD lines of business and business partners
- Communicates with all stakeholder levels and across entities.
Qualifications
- Bachelor's degree.
- CAPM or PMP is preferable
- 1-3 years of experience in Project Control and Project Financials, with a strong preference for experience in banking or financial services.
- Advanced level in Excel and PowerPoint. Ability to create dashboards using PowerBI if required.
- Proficient in project management software and tools (eg. Planview, JIRA, Confluences, etc)
- Proficient in M365 suites including low-code/ no-code is considered as asset
- Ability to prepare invoices monthly billings, purchase orders and other accounting documentation
- Excellent problem-solving skills and the ability to think critically.
- Strong communication skills, with the ability to clearly present complex data insights to diverse audiences.
- Ability to work independently in a fast-paced environment.
- Strong attention to detail
