Job summary

Ontario Health atHome is seeking a Team Assistant to support a care coordination team in North Bay or Timmins. The role focuses on administrative tasks, data entry, and handling patient information to ensure timely, patient-centred service delivery.

The position requires a Grade 12 diploma with strong clerical skills and bilingual capability (English and French preferred). You’ll join a collaborative team that prioritizes wellness, work-life balance, and professional growth in a busy home care

Qualifications

  • Grade 12 diploma or higher is required.
  • Clerical support experience in a computerized office environment.
  • Accurate keyboarding/data-entry skills.
  • Proficient with MS Word, Excel, and other database applications.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and team collaboration skills.
  • Excellent English, with French proficiency considered an asset.

Responsibilities

  • Provide administrative support to Care Coordinators.
  • Process new referrals, and orders for services, supplies and equipment.
  • Handle and assist with confidential patient records.
  • Enter, update and maintain high volumes of patient data in the electronic database.
  • Respond to a high volume of telephone inquiries from patients, families, and service providers.
  • Provide back-up support to other positions as required.
  • Assist with Intake Information and Referral as needed.

As a Team Assistant (Full-Time, Start Date: Immediately;Location: North Bay or Timmins), you will provide support for the assigned team in their daily activities to ensure that patients receive prompt, effective customer service.

What will you do?

  • Provide administrative support services to Care Coordinators
  • Process new referrals, and orders for services, supplies and equipment
  • Process and assist in managing confidential patient records
  • Enter, update and maintain a high volume of patient data in the electronic database
  • Answer a high volume of telephone inquiries from patients, families and service providers, and refer callers as appropriate
  • Provide back-up support to other positions, as required
  • Initial assignment Intake Information and Referral, with possible assignment changes within the occupation based on operational needs

What must you have?

  • A Grade 12 diploma (minimum)
  • Relevant experience providing clerical support services in a computerized office environment
  • Accurate keyboarding/data-entry skills
  • Proficient with database software, MS Word and Excel, and other applications in a Windows environment
  • Excellent organizational skills and ability to work with minimal supervision
  • Advanced multi-tasking skills, with the ability to meet performance and service goals
  • Exceptional interpersonal skills and ability to work as part of a team and interact tactfully and sensitively with patients from wide-ranging cultural, ethnic and socio-economic backgrounds
  • Excellent oral and written communication skills, including strong listening skills
  • Advanced oral and written proficiency in English and in French is essential.
  • Flexibility to work a schedule that includes days, evenings and weekends to meet organizational needs
  • We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date

What would give you the edge?

  • A college diploma in the health or social services field, or business/office administration
  • Familiarity with medical terminology, and office administrative procedures/concepts
  • Knowledge of services provided by Home and Community Care Support Services
  • Ability to speak French or another second language
