Job summary

Lycopodium Limited in Mississauga, Ontario, is seeking a System Completions Coordinator to join the team. You will be responsible for developing and maintaining data across the Projects Group, ensuring quality and traceability throughout completions processes.

You will manage tags, databases, and ITRs, working with Construction, Commissioning, Start-Up, and other stakeholders, while supporting MOC tracking and handover activities.

Qualifications

• Minimum 3 years of systems experience with data management responsibilities.
• Experience with database systems (e.g., PIMS) and ISO 9001 principles is an asset.
• Strong written and verbal communication across technical and non-technical stakeholders.
• Ability to work autonomously and with cross-functional teams on multiple priorities.

Responsibilities

• Support Projects and Commissioning teams to meet quality standards and ISO 9001.
• Develop, maintain, and monitor project systems and databases for data management.
• Identify project Systems/Subsystems and maintain a comprehensive tag database.
• Compile and maintain equipment lists for project execution and completions.
• Validate new tags against drawings and mark-ups for accuracy.
• Assign ITRs to tags and support handover documentation from Construction to Start-Up.
• Liaise with stakeholders to support MOC processes, track progress, and report timelines.
• Develop and maintain completions tracking databases and train personnel.

Lycopodium Americas is currently recruiting for a System Completions Coordinator to join our growing team in Mississauga, Ontario.

Reporting to the HSEQ Manager the Systems Completions Coordinator will be responsible for the accurate and proficient development and maintenance of data with the Projects Group.

The tasks you'll perform

• Support the Projects and Commissioning teams to ensure deliverables meet Company, Client, and regulatory quality standards while maintaining compliance with ISO 9001 principles.
• Develop, maintain, and monitor project systems and databases to enable efficient, accurate, and traceable project data management.
• Identify project Systems and Subsystems and create/manage a comprehensive database of all system and subsystem tags.
• Compile and maintain Mechanical, Piping, and other relevant equipment lists required for project execution and completions.
• Validate new tags against issued engineering drawings, scope drawings, and redline mark-ups (RLMUs) to ensure data accuracy and consistency.
• Ensure appropriate Construction, Pre-commissioning, and Commissioning Inspection & Test Reports (ITRs) are assigned to relevant tags and support the provision of handover documentation from Construction to Start-Up.
• Liaise with Commissioning, Start-Up Operations, Construction, Maintenance, Preservation, and other stakeholders to support Management of Change processes, track progress, analyze data, and report against project timelines.
• Develop and maintain walkdown, punch list, and completions tracking databases, manage ongoing project completions records, and train project personnel on the use of completions systems and databases.

The expertise you'll bring

• Minimum 3 years of systems experience supported by a tertiary/trade qualification from a recognized university; experience with database systems (e.g., PIMS) and ISO 9001 principles is considered an asset.
• Strong understanding of data management requirements, including the development and maintenance of Work Breakdown Structures (WBS) in accordance with project specifications, compliance requirements, and industry standards.
• Strong written and verbal communication skills with the ability to communicate effectively across technical and non-technical stakeholders.
• Ability to work both autonomously and collaboratively with colleagues across multiple business units and disciplines.
• Well-developed organizational, planning, and time management skills with the ability to manage multiple priorities and deadlines.
• Demonstrated ability to build and maintain positive working relationships with clients, vendors, stakeholders, and internal team members.
• Proactively seeks, accepts, and applies guidance and feedback from subject matter experts to support continuous improvement and project success.
• Self-motivated, driven, and committed to achieving objectives through ongoing professional development and learning.

The expected salary range for this role is $80,000 to $95,000.This range is based on the role’s job family andlevel and reflects a good faith estimate for the role at the time of posting.
