Job Duties
The Student Recruitment Officer at Saskatchewan Polytechnic plays a vital role in the institution’s strategic enrolment efforts to attract and engage a diverse population of prospective students both provincially and nationally. The position requires a diverse skill set to leverage communication technology and adapt to changing student demographics. The officer travels to post-secondary schools across the province, including Alberta and Manitoba, to promote Saskatchewan Polytechnic programs. They work collaboratively with SUTIL (Saskatchewan Universities and Technical Institute Liaison), representing Saskatchewan Polytechnic as a founding member, and serve as the first point of contact for students, counsellors, teachers, parents, community partners, and the public. The role involves working with various departments and managing student interactions through our CRM system to enhance domestic student enrolment.

Specific Accountabilities
- Prospective Student Advising and Conversion
- Represent Saskatchewan Polytechnic in SUTIL and PSE committees, developing outreach campaigns across Western Canada.
- Travel extensively to schools and community organizations to connect with prospective students, mainly in Saskatchewan, Alberta, and Manitoba.
- Serve as the primary contact for prospective students, guiding them through educational decisions at events and supporting recruitment advisors on-campus.
- Provide personalized support via online, in-person, phone, email, and Zoom interactions, demonstrating patience and active listening.
- Assist with application processes, admission requirements, and address prospective students’ needs with evidence-based recommendations.
- Advocate for prospective students in admissions, addressing errors and proposing policy improvements.
- Identify key engagement touchpoints and facilitate campus tours, including training staff for tours.
- Promote inclusivity and cultural awareness through workshops and events.
Event and Presentation Planning, Coordination, and Implementation
- Support event logistics for on-campus and off-campus recruitment activities, including travel planning.
- Plan and facilitate off-campus events, including career fairs and school visits, both in-person and virtual.
- Maintain a Recruitment Events calendar and manage event displays and collaborations to maximize effectiveness.
- Deliver engaging presentations to promote Saskatchewan Polytechnic and build stakeholder relationships.
Operational Planning
- Coordinate inter-departmental communication to ensure consistent support and accurate information dissemination.
- Assist with managing inquiries via email and maintaining a comprehensive communication system.
- Plan provincial travel for recruitment, ensuring safety and logistical efficiency.
CRM Administration, Data Tracking, and Analysis
- Maintain contacts and track participant engagement using CRM platforms, capturing leads and facilitating incentives.
- Use data analysis to inform and improve recruitment strategies.
- Keep accurate prospective student databases for effective communication.
Communications and Marketing Planning
- Coordinate and distribute communications and marketing materials, including presentations and promotional content.
- Develop and distribute annual marketing materials like viewbooks and posters, aligning with market needs.
Domestic Recruitment Strategy
- Align recruitment strategies with SEM plans and institutional goals, involving team collaboration.
- Implement evaluation tools to assess and enhance recruitment programs and services.
Must have the ability to travel and a valid Class 5 driver’s license for travel between campuses and external stakeholder visits.
This role frequently requires lifting, carrying, pushing, or pulling objects over 20 lbs.
Required Qualifications, Skills, and Abilities (QSA)
- Diploma from Saskatchewan Polytechnic or equivalent education, training, and experience.
- At least three years of office experience; experience with career fairs, trade shows, or event planning is an asset.
- Knowledge of Saskatchewan Polytechnic programs and admission processes, and awareness of adult education systems.
- Familiarity with Saskatchewan’s education/training community organizations.
- Intermediate proficiency with MS Office, databases, and presentation tools.
- Excellent presentation, interpersonal, communication, and customer service skills.
- Ability to manage multiple projects and work effectively in teams.
- Valuing diversity and inclusivity.
- Ability to travel and possess a valid Class 5 driver’s license.
