Job summary

Ontario University Athletics in Guelph seeks a Student Employment Administrator to join the Experiential Learning Hub. This temporary full-time role coordinates the employment portion of the recruitment process for all co-op positions, including day-of interview support, offers, and confirmations.

Qualifications

  • Two (2) year Community College Diploma in Human Resources or Business Administration or related field with at least one year of related administrative experience.
  • Experience working with systems and databases; Orbis-based software is considered an asset.
  • Advanced knowledge of Microsoft Office programs (Word, Excel, Office 365) and web conferencing tools.
  • A high degree of accuracy and attention to detail with outstanding written and oral communication skills.
  • Ability to work with a variety of stakeholders (employers, students, faculty) using tact and diplomacy.
  • Capable of working independently and collaboratively in a fast-paced environment with multi-tasking.

Responsibilities

  • Responsible for the co-op offers operation, guiding employers on Experience Guelph Rank & Offer module and responding to inquiries from students.
  • With thousands of co-op applications uploaded annually, assist students through offers and work records.
  • Oversees and supports co-op interviews, which could be in-person, virtual or by telephone.
  • Acts as the main contact for external employers during campus interviews, providing access to services and resolving issues.
  • Troubleshoots day-of in-person interview conflicts and arranges new interview times if needed.
  • Administers booking of multiple interview rooms in the EL Hub for interviews.
  • Engages with employers to determine hiring needs and conducts follow-ups regarding compensation options and data sharing.
  • Processes over 2,000 job confirmations and re-appointments annually.
  • Reviews co-op work records (4,000+ annually) for completion and updates student information per rules.

General Purpose

The Student Employment Administrator is a member of the Employment Services & Systems (ES&S) unit within the Experiential Learning Hub. ES&S is responsible for employment services for students, as well as the maintenance and use of the Experience Guelph system, an experiential learning management platform. The ES&S team works with thousands of employers who post and hire U of G students annually for 6,000+ co-op students from over 60 co-op programs, as well as all regular U of G students and new graduates.

This role is one of four positions that co-ordinate the employment portion of the recruitment process for all co-op positions, including day-of interview support, follow-ups, offer submittal, and processing of job confirmations and re-appointments. In peak periods, this position could be responsible for overseeing almost 75 interviews in a single week.

Duties and Responsibilities
  • Responsible for the co-op offers operation, which processes thousands of offers annually, providing guidance to employers on the use of Experience Guelph Rank & Offer module and responding to inquiries from students, etc.
  • With almost 75,000 co-op job applications uploaded annually, works to assist students through the employment process, specifically offers, and work records.
  • Oversees and supports co-op interviews, which could be in-person, virtual or by telephone.
  • Acts as the main contact for external employers during their time on campus interviewing, providing access to services, giving an overview of U of G’s co-op interview and offer process, and resolving any employer issues.
  • Troubleshoots day-of in-person interview conflicts, such as students failing to arrive for their interview, and arranges a new interview time, if desired by the employer.
  • Administers the booking of multiple interview rooms in the EL Hub, ensuring employers have an appropriate space to conduct interviews.
  • Engages with each employer to determine their hiring needs following interviews by conducting follow-ups, which could include conversations regarding compensation options, gathering and communicating sensitive information to/from students and employers, etc.
  • Processes over 2,000 job confirmations and re-appointments at a minimum annually.
  • Reviews co-op work records (4,000+ annually) for completion, updating student work information based on pre-determined data integrity rules and regulations.
Requirements
  • Two (2) year Community College Diploma in Human Resources or Business Administration or a related field along with at least one (1) year of related administrative experience, preferably in roles focusing on Human Resources or post-secondary education. A relevant combination of education and experience may be considered.
  • Experience working with systems and databases; previous use of an Orbis-based software is considered an asset.
  • Advanced knowledge of Microsoft Office programs (Word, Excel, Office 365) and web conferencing tools (MS Teams, Zoom, Skype, etc.)
  • A high degree of accuracy and attention to detail, along with outstanding written and oral communication skills is required.
  • Ability to work with a variety of stakeholders (employers, students, faculty, and colleagues) using tact and diplomacy during interactions.
  • Capable of working both independently and collaboratively in an extremely high-paced and often stressful environment with the ability to maintain efficiency while multi-tasking competing demands.
  • Excellent personal judgement, organizational and communication skills, and problem-solving ability in order to multitask and prioritize duties while dealing with interruptions and competing deadlines.

* This is a multi-incumbent role meant to serve all co-op programs and be cross trained to provide back-up and relief to other members of the ES&S team.
