Reporting to a Director of Strategic Procurement, you will be part of the Supply Chain department. Your role involves managing department documents, overseeing the supplier prequalification process, and supporting department personnel through organization and communication tasks. You will ensure the efficient operation of the office while adhering to Agnico Eagle's values, health and safety code of conduct, and environmental standards.
Responsibilities:
- Ensure compliance with Agnico Eagle's document control and archiving procedures.
- Manage the flow of information, including emails, mail, and documents related to calls for tenders and supplier prequalification.
- Oversee the supplier prequalification process for the department.
- Follow up with contractors regarding their conformity to WSCC and insurance certificates.
- Control department documentation such as RFP/Contract templates, contracts, policies, standards, processes, procedures, and guidelines.
- Prepare external and internal communications in accordance with Agnico Eagle standards.
- Ensure proper documentation of credit card transactions made by Buyers and reconcile these transactions with bank statements and accounts payable.
- Manage the contract management module in JDE.
- Manage FLEX RFP templates in the Esourcing application.
Minimum Requirements:
- 1-2 years of experience as an Administrative Assistant, Document Control, or relevant experience.
- High school diploma or equivalent; college diploma or university degree in administration preferred.
- Proficiency in Microsoft Office Suite applications, especially Outlook, Excel, Word, and PowerPoint.
- Proficiency in SharePoint.
- Strong interpersonal, communication, and team-building skills.
- Professionalism and discretion.
- Excellent time management skills with the ability to multi-task and prioritize.
- Attention to detail and sound judgment.
- Flexibility in work approach.
- Proficiency in English and French (oral and written); candidates must pass the SPEEXX English assessment.
Work Schedule:
- 40 hours per week, on a 5/2 – 4/3 schedule, with the possibility of remote work according to current policy.
- Workplace located at our office in Val-d'Or.
