Job summary

NorthStar Equipment Rentals is seeking a capable Purchasing & Fleet Coordinator to manage company purchases, sourcing inventory, and processing purchase orders. You will oversee the fleet, maintain records, and coordinate with external operators to ensure maintenance and recalls are completed.

You will build strong relationships with vendors, source quality goods within budget and time constraints, and report on fleet activity, costs, and asset inventories to support efficient operations.

Responsibilities

• Issue, track and receive electronic purchase orders for assets, goods, and services.
• Identify opportunities to innovate and streamline, improving customer service delivery.
• Source the highest quality goods within budget and time parameters.
• Build and maintain relationships with vendors and suppliers.
• Maintain knowledge of goods or services to be acquired.
• Develop and implement new purchasing strategies to deliver cost reductions.
• Manage promotional orders, inventory, and customer functions.
• Other duties and responsibilities as required.
• Maintain an accurate up-to-date inventory of equipment and vehicles (owned, leased, and rented).
• Ensure all vehicles are properly registered and insured.
• Maintain detailed records of fleet activity including mileage, maintenance, incidents, and violations.
• Coordinate with external operators to ensure vehicles are maintained and recalls are completed.
• Ensure all operators have a current driver’s abstract and have read and signed off on corporate vehicle policy.
• Ensure timely reporting of incidents or accidents involving company vehicles.
• Work with clients and vendors to find vehicles to best suit the application.
• In cooperation with branch management, ensure delivery vehicles are inspected daily.
• Coordinate delivery vehicle maintenance and repairs with branch management to minimize interruption to daily operations.
• Stay up to date on all Department of Transport rules and regulations.
• Work with senior and branch management to develop and implement strategies to improve fleet efficiency and productivity.
• Prepare reports on vehicle or equipment fleet as requested by management.
• Ensure all vehicle-related invoices are processed in a timely fashion.
• Study and maintain current inventory levels to report back to department managers for future orders.
• Work with the Systems Lead to manage, organize, and oversee annual asset inventories.
