Job description

Storekeeper, Health Sciences Supply Centre

Primary Purpose: To provide storekeeping, clerical, financial, and administrative services in support of the research activities and academic programs in the Health Sciences building and across the university through the efficient and smooth operation of the Health Sciences Supply Centre (HSSC). The person is expected to work within a team environment within the HSSC and the wider community assisting others as required

Nature of Work: Reporting to the Lab Manager for the HSSC, this position interacts with a diverse group of individuals including faculty, students, staff, and the public. As part of the support team, the incumbent engages in client care activities that support a highly efficient and productive service delivery model for the HSSC and exercises discretionary decision making according to established policies and procedures and assists in establishing policies and procedures. Routinely solves client needs & problems by analyzing situations and ensuring a timely and knowledgeable response or solution is provided. Anticipating and understanding client needs and aligning with the OVPH goals and objectives is the norm. The incumbent maintains a high level of client service in an environment of multiple, competing deadlines and priorities where disruptions are the norm. Works collaboratively within a team environment and takes the initiative to assist team members as workload demands allow and when required. The work encompasses a broad range of complex duties and processes that involve deadlines, peak periods and situations that requires both the ability to work independently as well as part of a team. The position exercises discretion in interpreting various policies, procedures and guidelines. Tasks may involve highly sensitive and confidential matters. It is expected that the incumbent will have excellent interpersonal skills, and attention to detail in maintaining records and correspondence. The work takes place in a typical stores operation environment

Typical Duties/Accountabilities:

  • Provides telephone, counter, and online order customer service for selling inventory and ordering supplies related to the teaching and research operations of the facility
  • Provides administrative financial support to the HSSC including financial transactions via FastLane and UniFi for processing payments, invoices, purchase requisitions and orders, journal vouchers, P-card statement reconciliation, andpreparation of other financial documentation
  • Consults with lab consumable, chemical, glassware and equipment representatives to obtain specifications, quotations on products for researchers and provides advice on same to faculty, students, and staff
  • Receives and unpacks supply orders consisting of equipment, lab supplies, biologicals and chemicals, including hazardous and other materials, ensuring appropriate handling and storage, and delivering or contacting end users to arrange pickup
  • Maintains stock control and inventories according to policies and inventory limits within the inventory system
  • Assists in the preparation and disposal of chemical waste products
  • Assists in the running of the HSSC, according to HSEMS guidelines and maintenance of appropriate MSDS and other documentation, product catalogues, financial records and other essential resources
  • Prepares and disposes of surplus assets
  • Manages consignment sale programs for various suppliers
  • Assists in the sorting and distribution of mail for the facility
  • Filing (electronic and paper) of all correspondence generated and received, with respect to the operations of the HSSC
  • Lifting heavy (up to 23 kg’s) and bulky products on a daily basis
  • Managing sales of liquid nitrogen and dispensing of liquid nitrogen to research and academic labs placing orders for gas supplies for individual and bulk tanks located in the facility
  • Other duties as assigned

Qualifications

Education: Minimum of Grade 12 and a parts management/stores certificate or diploma. An educational background that provides the candidate with knowledge of scientific equipment and supplies would be an asset. A combination of education and experience may be considered. Current training and/or certification for transportation and handling of dangerous goods, biosafety, radiation safety, WHMIS, etc. would be an asset

Experience: Three to five years of related purchasing/stores and client service experience that includes ordering of chemicals, technical and other supplies; experience working in an academic or research laboratory or ordering supplies for this type of laboratory would be desirable; experience with the University of Saskatchewan’s financial and purchasing systems related to accounts payable and receivable; experience with the FastLane inventory system or other similar systems.

Skills: Must be able to lift and carry bulky products up to 23 kgs on a regular basis and must be able to demonstrate this in the interview. Demonstrates highly effective interpersonal, analytical, written and verbal communication skills; demonstrates ability to function in a high volume setting with many and often conflicting deadlines; attention to detail is required for all aspects of the position; demonstrates public relation skills, including the ability to interact effectively with the public, faculty, staff and students; works effectively independently and as part of a team and recognizes boundaries of scope of responsibility; handles all interactions with tact, discretion, confidentiality, cultural sensitivity; recognize problems and determine best course of action to arrive at a solution and if beyond scope of position brings the problems to the Lab Manager with possible solutions to outcomes; recognize and implement approved changes in policies/procedures in a timely and effective manner; be self-motivated; have the ability to follow direction and at the same time exercise initiative in all aspects of required duties; demonstrates high proficiency with Microsoft Office software, especially Excel and Word; experience with financial software such as the university system Unifi and a strong understanding of accounting practices and procedures to be able to competently process journal vouchers, purchase requisitions, reconciliations, etc.; familiarity with web page maintenance, MS SharePoint, and inventory systems; files electronic and hard copy paperwork appropriately, with accuracy and in a timely manner while exercising discretion and confidentiality; displays ability to set prudent priorities while achieving goals and objectives in an appropriate time frame; resourcefully addresses issues that arise; provides relevant information and assistance professionally in person, via email and over the phone; communicates in an open and professional manner; ability work in a store’s/warehouse environment; maintains a neat and orderly workspace; demonstrates willingness to assist others.
