Job summary

National Centre for Truth & Reconciliation is seeking a Statement Gathering Administrative Support - OA5 (AESES) for a 25-hour per week, on-site role in Winnipeg. The position is grant-funded, part-time, with a start date in November 2026 and a salary range of 26.62 to 36.41 CAD per hour.

Responsibilities

  • Schedule appointments and update calendar for statement gathering coordinator and gatherers.
  • Review mail, email, and phone messages daily and redirect inquiries as appropriate.
  • Make travel arrangements and prepare travel claims for staff.
  • Prepare materials for meetings, presentations, and reports.
  • Take minutes in meetings as required.
  • Review phone bills and submit for reimbursement.
  • Arrange external contractor services through EPIC or service agreements.
  • Complete administrative tasks per University policies.
  • Provide on-site support for statement gathering events.
  • Engage with Indigenous communities and coordinate activities.
  • Support video and audio productions with the coordinator.

Qualifications

PREFERENCE WILL BE GIVEN TO INDIGENOUS CANDIDATES. APPLICANTS MUST SELF-DECLARE ON THEIR COVER LETTER/RESUME AS INDIGENOUS (FIRST NATION, METIS AND/OR INUIT).

MINIMUM FORMAL EDUCATION/TRAINING:

  • Completion of a formal training program in a related discipline from a recognized institute is required.

EXPERIENCE:

  • Four years of directly related office experience is required.
  • Experience working with Indigenous peoples, Elders, Survivors, organizations, and communities is required.
  • Directly related administrative experience is required.
  • Experience with statement gathering or related experience in collecting oral history or stories from communities is an asset.
  • Experience working with community-based organizations who are involved in education, public programming and outreach is an asset.
  • Experience with video and/or audio productions is an asset.
  • An acceptable equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES:

  • The ability to work with Residential School Survivors and their families is required.
  • The ability to engage in tactful and diplomatic behaviour is required.
  • Good English oral and written communication and interpersonal skills are required.
  • Good organizational skills and attention to detail required.
  • Capacity to work in both a team and individual based environment is required.
  • Knowledge of Microsoft Office (Word, Excel, Power Point, Outlook) is required.
  • Ability to learn in-house University software systems (Concur and EPIC) is required.
  • Ability to adapt to a cross-cultural setting is required.
  • Ability to be conscientious, professional, responsible and reliable is required.
  • Ability to exhibit comfort, ease, and excellent judgment working at a senior level with internal and external communities is required.
  • Positive, pleasant and courteous manner is required.
  • Satisfactory work record, including satisfactory attendance and punctuality is required.
  • Ability to adapt to changing environments and circumstances is required.
  • Knowledge and understanding of Indigenous communities, governments and organizations is an asset.

OTHER JOB RELATED QUALIFICATIONS:

  • A Class 5 driver’s license is an asset.
  • Ability to speak French and/or an Indigenous language is an asset.
  • Knowledge of University policies/procedures is an asset.
Key responsibilities
  • Schedule appointments, arrange meetings and update calendar for statement gathering coordinator and gatherers.
  • Daily review of mail, email, and phone messages - answer or redirect inquiries as appropriate.
  • Make travel arrangements and prepare travel claims for statement gathering coordinator and gatherers.
  • Prepare, update, and assemble materials for meetings, presentations, and reports.
  • Take minutes in meetings as required.
  • Review telephone and cell phone bills and submit for reimbursement.
  • Arrange external contractor services as needed through EPIC or service agreements.
  • Complete administrative tasks as required in accordance with University of Manitoba policies.
  • Responsible for following office protocols for record keeping and financial management as needed and assigned.
  • Assist with project implementation as directed – for example, facilitate coordination and communication between partners and collaborators.
  • Submit invoices as required for travel expense reimbursements.
  • Engage with Indigenous communities (governments, organizations, community members) through ongoing communication of activities and gathering information about community activities.
  • Provide on-site support for statement gathering events.
  • Work closely with Statement Gathering Coordinator to support video and audio productions.
  • Engage with speakers and/or participants to arrange reimbursements, honourariums, and other paperwork.
  • Arrange external contractor services as needed through EPIC or service agreements.
  • Complete administrative tasks as required in accordance with University of Manitoba policies.
  • Provide on-site support for production.
  • Other duties as assigned or required.
Additional information

Please note that this is a part-time position and requires 100% on-site attendance (fully on-site).The regular work schedule is 25 hours per week, Monday to Friday, from 8:30 a.m. to 2:30 p.m.
