POSITION OVERVIEW:

The role is located at Donald Plaza in Ottawa, ON.

Reporting to the Sr. Property Manager, this position is responsible for assisting the Property Manager with managing the day to day operations of the site(s) within the assigned portfolio.


RESPONSIBILITIES:
  • Assist the Property Manager in collecting and entering monthly rents in Yardi;
  • Review Accounts Receivables and call tenants for outstanding arrears;
  • Resolve tenant issues;
  • Maintain accounting / invoicing procedures, including processing supplier invoices, entering purchase orders into Yardi and preparing monthly tenant service invoices;
  • Prepare statement of accounts and correspondences to send to tenants and vendors;
  • Ensure tenant billings and year-end adjustments are correct and as per lease agreement;
  • Prepare and distribute year-end recoveries to all tenants;
  • Review lease summaries;
  • Inform manager of any property, tenant or A/R issues;
  • Prepare and update reports;
  • Prepare default and / or demand notices to tenants for non-payment of rent;
  • Train and support Property Administrator where applicable;
  • Reconcile and track specialty leasing agreements and associated rent;
  • Assist with tender packages by providing historical costs;
  • Provide administrative support to the Sr. Property Manager;
  • Assist with developing operating budgets;
  • Other duties / projects as required.
  • College Diploma or Certificate in Business Administration;
  • Minimum 3 years of experience in property management;
  • Exceptional written and verbal communication skills;
  • Proficient in Word, Excel and Outlook;
  • Demonstrated problem solving skills.
