Job summary

PML Professional Mechanical Ltd. in Port Coquitlam is seeking a Project Coordinator for Special Projects to organize activities and maintain project document control.

You will work with the project team to ensure administrative and communication structures are upheld throughout the project lifecycle. Responsibilities include reviewing bids, managing permits, coordinating subcontractors, tracking RFIs, and assisting with procurement, billing, and change orders, while building strong relationships

Qualifications

  • Minimum 2 years of Project Coordination experience in Mechanical Special Projects/Retrofit.
  • Proficient with MS Project, MS Excel, MS Outlook.
  • Knowledge of WorkSafeBC regulations.

Responsibilities

  • Coordinate project activities and maintain project documentation.
  • Review bidding websites daily and manage permits.
  • Assist Project Manager with tracking jobs and reminders for emails/appointments.
  • Maintain project tracking logs, change orders, RFIs, and other records.
  • Assist in procurement, billing, and progress claim management.

Job description

Located in Port Coquitlam, our Special Projects Team is seeking a Project Coordinator is responsible for organizing project activities and maintaining project document control. This role works with the project team to ensure administrative and communication structures are maintained throughout the life of a project. The Special Projects – Project Coordinator coordinates, monitors, and improves field service activities. They work closely with the Special Projects Estimator/Project Managers in the delegation and coordination of specific job tasks and ensure communication and collaboration with all project interested parties is fully implemented.

Responsibilities:
  • Review bidding websites daily, set up retrofit job.
  • Perform time and material tracing when necessary.
  • Apply for, manage and close permits – Technical safety BC and City permits.
  • Effectively and accurately communicate relevant project information to project team.
  • Perform general project coordination, including the review and distribution of project documentation, and correspondence.
  • Issue RFQ’s to sub contractors.
  • Assist Project Manager in tracking jobs, reminders for emails and appointments.
  • Maintenance of all project tracking, logs, change orders, RFI’s, etc.
  • Assist with procurement and delivery.
  • Work with PM to maintain billing, scope, materials, and other job objectives.
  • Support subcontract management and processing of invoices and progress claim.
  • Assist in the coordination of the change order management process.
  • Prepare project closeout documents by collecting all relevant information.
  • Attend site and office meetings when required.
  • Create relationships with Buildings Owners, Building Engineers, Mechanical Engineers, Construction Estimators,
  • Architects, Property Managers and other professionals in the industry.
  • Coordinate job through from quotation, to implementation, through to completion.
  • Maintain a positive outlook and be ready to ring the bell of success.
  • Prepare quotations for the Project Manager from subcontractors and submit tenders as per specifications from the engineer.
Qualifications:
  • Minimum 2 years of Project Coordination experience in Mechanical Special Projects/Retrofit.
  • Proficient with MS Office applications in particular – MS Project, MS Excel, MS Outlook.
  • Proven experience with document control.
  • Ability to support managing vendor and client communication.
  • Knowledge of WorkSafeBC regulations.
  • Able to interact and communicate effectively, both written and oral.
  • Attention to detail and accuracy is a must.
  • Ability to multitask and prioritize.
