Our client is open to candidates with transferable experience and is willing to provide training to someone with the right aptitude, strong organizational skills, and an eagerness to learn.

Ideal Candidate:

They may bring experience in telecommunications, commercial real estate, construction, engineering, planning, or contract administration, with an ability to review technical information and understand contractual requirements. Strong communication skills, accuracy, initiative, and a willingness to pick up the phone and follow up with clients are essential. Previous telecommunications experience is an asset but is not required for someone with relevant transferable skills.

Key Responsibilities
Colocation Applications & Tenant Coordination
  • Receive, review, and process applications from wireless carriers seeking to install equipment on existing telecommunications towers, rooftops, and ground assets.
  • Coordinate tenant onboarding, ensuring applications, approvals, agreements, and supporting documentation are completed accurately and efficiently.
  • Review equipment specifications and installation requirements, working closely with engineering and operations teams to resolve discrepancies.
  • Track applications through internal approval processes, ensuring timely follow-up and communication with all parties.
  • Serve as a primary point of contact for tenant inquiries, explaining processes, answering questions, and coordinating next steps.
Lease & Contract Administration
  • Coordinate the preparation, distribution, execution, and filing of colocation agreements, amendments, and supporting documents.
  • Review agreements to understand standard contractual terms, conditions, and requirements.
  • Track lease milestones, renewal dates, notice periods, and other important contractual deadlines.
  • Support tenant renewals and assist with ground lease extensions related to colocation activities.
  • Ensure agreements and supporting documentation are accurately maintained and discrepancies are addressed.
Database & Portfolio Management
  • Maintain accurate tenant, lease, equipment, and site information within internal databases and lease management systems.
  • Update records relating to new agreements, amendments, equipment changes, and tenant activity.
  • Support database maintenance, record reconciliation, and ongoing process improvements.
  • Prepare reports and summaries relating to application activity, leasing pipelines, and portfolio occupancy.
  • Ensure all documentation is properly organized, filed, and accessible to internal teams.
Client Relations & Internal Collaboration

  • Coordinate with Legal, Engineering, Operations, and Finance to support leasing activities and resolve outstanding issues.
  • Assist with tenant billing, reimbursements, and cost tracking in collaboration with Finance.
  • Gather relevant tenant, equipment, and market information to support site reviews, pricing, and project proposals.
  • Proactively follow up on outstanding applications, agreements, and documentation to keep projects moving forward.
Qualifications
  • Approximately 1–3 years of experience in telecommunications, real estate administration, construction, engineering, planning, contract administration, or a related field.
  • Post-secondary education in business administration, real estate, construction, engineering, or a related discipline; equivalent practical experience will also be considered.
  • Excellent organizational skills with the ability to manage multiple active files, deadlines, and competing priorities.
  • Strong attention to detail, particularly when reviewing technical specifications, agreements, and database records.
  • Excellent written and verbal communication skills in English, with confidence communicating directly with clients and internal stakeholders.
